Clinical Operations Coordinator

The Clinical Operations Coordinator plays a vital role in supporting the day-to-day operations of our clinical department. This position works closely with Clinical Directors, BCBAs, Scheduling, Billing, and Executive Leadership to monitor operational performance, maintain Central Reach accuracy, analyze key performance indicators, and support initiatives that improve service delivery. This role requires exceptional attention to detail, strong analytical skills, and the ability to manage multiple priorities in a fast-paced healthcare environment. Essential Responsibilities Clinical Operations Support daily clinical operations and assist with workflow optimization. Monitor clinician and technician attendance trends and elevate concerns as appropriate. Assist with BCBA caseload assignments and workload balancing. Track staffing metrics and operational performance indicators. Central Reach Administration Maintain accurate client, employee, and scheduling data within Central Reach. Audit records to ensure data integrity and compliance. Assist with system updates, workflow improvements, and process enhancements. Troubleshoot operational issues related to Central Reach. Reporting & Analytics Monitor billable hours, productivity, utilization, and key performance metrics. Track session conversions, cancellations, no-shows, and scheduling trends. Prepare weekly and monthly operational reports for leadership. Analyze operational data and identify opportunities for increased efficiency and improved performance. Quality Assurance Conduct audits to ensure compliance with company policies, payer requirements, and documentation standards. Identify trends requiring corrective action or operational improvement. Support quality initiatives and continuous improvement projects. Cross-Functional Support Collaborate with Clinical Leadership, Scheduling, Billing, Human Resources, and Operations teams. Assist with implementation of new processes and organizational initiatives. Participate in special projects and other duties as assigned. Qualifications Required Bachelor's degree preferred; equivalent experience considered. Minimum of two years of experience in healthcare administration, clinical operations, ABA, or behavioral health. Strong organizational and project management skills. Excellent analytical and problem-solving abilities. Advanced proficiency in Microsoft Excel and Microsoft Office Suite. Ability to prioritize competing deadlines while maintaining exceptional accuracy. Excellent written and verbal communication skills.
