Who You Are
The Executive Producer is a key leadership role, owning all facets of an event and bearing ultimate responsibility for its success. You have a minimum of 7 years of live event leadership experience. The Executive Producer guides the entire program from start to finish, managing complex budgets, leading internal and external teams, and serving as a primary liaison with clients. You provide strategic, creative, and technical direction to ensure that all client objectives are met and that the engagement is a financial success. You will report to the Sr. Director of Production.
Essential Duties and Responsibilities
Project & Financial Management
- Oversee all aspects of event production from pre-production through post-production, ensuring projects are delivered on time and within budget
- Develop, manage, and reconcile large-scale, complex event budgets, and conduct regular budget reviews with clients and internal finance teams
- Work in collaboration with the Creative Director, Technical Director, Production Manager and respective teams to guide the execution of the project's creative vision
- Work with the internal TENCUE team to determine project roles and responsibilities, assembling and managing a diverse team of internal staff, contractors, and vendors
- Select and manage project vendors to find the most efficient and cost-effective solutions that meet creative and client goals
- Oversee the creation and management of all production-related documentation, including schedules, permits, and show-related documents
- Review equipment lists, labor schedules and cross check with schedules to ensure all items/hours needed for the show are included
- Proactively identify and resolve conflicts and respond to critical issues across all event-related teams and programs
- Reconcile final budget and secure agreement from client
- Work with TENCUE accountants to ensure accurate and timely invoicing of client
- Ensure documents are organized and saved to TENCUE server
Client Management
- Work with Account Lead to draft SOWs, COs, and other client-facing contracts as needed
- Act as the primary contact for clients, ensuring consistent communication
- Understand and exceed client objectives throughout the project lifecycle
- Review schedules, templates and work-back schedules with client and finesse as needed to suit client and show needs
- Track Creative and Project Deliverables, approvals and drive timelines
- Provide consistent and timely client communication
- Escalate issues (as needed) when project scope, budget and/or client expectations are at risk
- Manage client meetings including creative presentations and budget reviews
- Create and manage show flow
- Collaborate with client in developing rehearsal schedules and identify presenters who may need more rehearsal and/or stage time
- Understand all components of speaker presentations (internally and externally produced)
- Work with client and Production Managers to identify items to be shipped back to client
- Manage client expectations by preparing and advising client prior to travel of any scenarios that could result in budget impact and talk through the onsite change order process to avoid delays with the approval process
Leadership & On-Site Execution
- Participate in all risk assessment meetings and ensure team is safety compliant on-site
- Work across teams to drive install, show, and strike, ensuring we are aligned with creative vision and production schedules, all while working within budget parameters
- Manage show flow and all components (with show team) for client presentations including delivery of show assets to the production team.
- Maintain budget onsite with clear understanding of procedures for any budget changes
- Work with Technical Director and show crew to mitigate risk to show and/or any potential failure points as relates to show and safety
- Conduct daily safety briefings with Technical Director
- Manage on-site rehearsal schedule; ensure team is rehearsal ready per schedule
- Work with team to manage Room Director and Graphics Operator schedules (as needed)
- Work with Production Manager to provide photo selects for client and internal use
- Communicate with onsite teams about responsibilities through strike to define protocol for final show assets and files.
- Work with Production Manager to deliver post-conference media to client (as needed)
Company Participation
- Active participant in companywide meetings, trainings and workshops
- Be aware of and adhere to best practices for client management, and raise concerns to management if exceptions are needed
- Bring industry updates to the team
- Contributes to internal process development
- Contributes to project based debriefs, learnings and discoveries
- Stays current with companywide communication
- Work with management to put in place procedures as needed to ensure best practices are documented, accessible and communicated to the entire staff

How We’ll Take Care Of You
Our job titles may span more than one career level. The salary for this role is between $160,000 and $190,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as: training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.

Physical Requirements
Individuals will be required to sit for the majority of the day and will be required to stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday. Proper lifting techniques required. Individuals will be required to travel via airplane, train, taxi, car and/or other means of transportation as needed. Must have a clean driving record and be able to run errands when appropriate. This person can use the company van when it is available.
