The department of Medicine has an exciting opportunity for a full-time Sr. Manager, Sponsored Programs to work in a hybrid manner on the UHealth campus. The Sr. Manager, Sponsored Programs directs and oversees all administrative and financial aspects of the Sponsored Programs division at the assigned facilities. The Senior Manager, Sponsored Programs operates with the goals of increasing sponsored funding levels and the output of funding proposal, as well as maximizing the use and efficacy of existing research funding dollars. Further, the incumbent develops and implements policies and methods that further these goals.

CORE RESPONSIBILITIES

• Identifies potential donors or sources of funding and plans outreach strategies.
• Participates in the development of grants applications and proposals.
• Schedules and oversees planning for special events that publicize the organization and its programs to the community.
• Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.
• Negotiates contractual provisions with potential partners.
• Develops and provides reports or documentation needed to secure and maintain funding and grants.
• Ensures that grants and contracts adhere to organizational standards.
• Acts as department expert and primary point of contact on funding issues and disputes.
• Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

• Strategic Portfolio Oversight: Provide high-level financial and administrative oversight for a diversified $35M+ portfolio, ensuring that all 40+ active awards adhere to federal Uniform Guidance and specific sponsor terms.
• Expert Financial Forecasting: Engineer sophisticated fiscal projections for research expenditures totaling $12M+ annually; present data-driven viability reports to Division Chiefs and Principal Investigators (PIs) to inform long-term strategic planning.
• Compliance & Audit Readiness: Serve as the primary departmental contact for internal and external audits; manage meticulous reconciliation processes and maintain comprehensive documentation to safeguard against audit disallowances.
• Award Lifecycle Management: Lead the comprehensive award closeout process, including final financial reporting, clearing outstanding encumbrances, and resolving complex subrecipient monitoring issues.
• Advanced Effort Certification: Direct the quarterly effort reporting and certification process for all research faculty and staff; proactively identify funding gaps and manage salary distributions to ensure 100% compliance with institutional and federal regulations.
• Post-Award Modification Leadership: Coordinate and submit complex prior approval requests to sponsors, including no-cost extensions (NCEs), carryover requests, rebudgeting, and changes in scope.
• Subaward & Vendor Monitoring: Oversee the financial performance of subrecipients, reviewing invoices for allowability and performance metrics to ensure sub-award terms are met.
• Liaison & Financial Advisement: Act as the primary financial advisor to PIs, conducting regular portfolio reviews to analyze burn rates, manage non-personnel expenses, and ensure proper allocation of resources across multiple funding sources.
• Pre-Award Strategic Alignment: Leverage post-award expertise to assist the pre-award team in developing complex budgets that facilitate seamless post-award implementation and financial monitoring.

CORE QUALIFICATIONS

• Bachelor’s degree in relevant field
• Minimum 7 years of relevant experience
