Description
The Institutional Systems Support Specialist provides administrative and technical support for institutional systems, processes, and tools that support the College's academic operations and decision-making. This role is responsible for maintaining key systems related to room scheduling, course catalog management, surveys, course evaluations, and data dashboards, while ensuring data accuracy and consistency across platforms. The position also serves a critical quality assurance function through secondary review of curriculum-related builds and supports the coordination of institutional processes. Working closely with the Director and Curriculum Coordinator, this role contributes to efficient workflows and the effective use of institutional data and systems in support of continuous improvement and student success.

Essential Duties and Responsibilities include the following. Other duties may be assigned. Institutional Systems Management
- Monitor, maintain and support institutional systems used for scheduling, catalog management, surveys, course evaluations, and reporting.
- Administer 25Live room scheduling software, including approving internal room requests, maintaining room and space data in Colleague, and ensuring accuracy of reporting and scheduling information.
- Identify and resolve room scheduling conflicts, including reviewing and addressing potential double-bookings prior to the start of each academic term.
- Coordinate the catalog revision process with stakeholders including department heads, directors, deans and VPs.
- Maintain course catalog information in Acalog, including updating courses, course sequences, and related program information to ensure accuracy and consistency.
- Coordinate the administration of institutional surveys, including CCSSE and ad hoc surveys, ensuring timely setup, distribution, and monitoring of responses.
- Support the development and design of surveys using survey platforms (e.g., SurveyMonkey), including assisting with question development and formatting.
- Coordinate course evaluation processes, including system setup, communication with stakeholders, and distribution of results as appropriate.
- Maintain survey schedules and documentation to support consistent and efficient survey administration practices.
- Support the maintenance and upkeep of institutional dashboards by developing and following procedures to ensure data accuracy and timely updates.
- Assist with the collection and reporting of labor market data using Lightcast or similar tools to support institutional planning and decision-making.
- Ensure accuracy and consistency of data across systems by reviewing outputs and identifying discrepancies.
- Perform secondary review of curriculum-related system builds, including programs of study, to ensure accuracy, completeness, and alignment with institutional standards.
- Assist in identifying and resolving discrepancies in system configurations related to curriculum and program information.
- Collaborate with the Curriculum Coordinator to support consistency across curriculum systems and processes.
- Assist the Director of Research and Institutional Effectiveness and Curriculum Coordinator with departmental projects and initiatives.
- Support the coordination of institutional processes related to systems, surveys, and reporting activities.
- Develop and maintain documentation, procedures, and reference materials to support system use and departmental workflows.
- Provide general administrative and technical support to ensure efficient operation of departmental functions.

Typical Qualifications
- Associate's degree from an accredited institution in a related field (e.g., business administration, information systems, data management, or a related area).
- Two to four years of experience supporting administrative, operational, or data-related functions in a professional setting.
- Experience working with software systems, databases, or institution-wide applications.
- Demonstrated ability to manage multiple tasks, prioritize work, and meet deadlines with a high level of accuracy.

- Experience in a higher education setting, particularly within a community college.
- Experience with systems such as Ellucian Colleague, Informer, 25Live, Acalog, SmartEvals, SurveyMonkey, or similar platforms.
- Experience coordinating surveys, course evaluations, or data collection processes.
- Experience maintaining or supporting dashboards, reports, or data visualization tools.
