Athletic Coordinator

Under the general supervision of the Parks & Recreation Manager, the Athletic Coordinator plans, organizes, and oversees youth and adult athletic programs, leagues, tournaments, camps, and special events. This position coordinates athletic facility scheduling, registrations, coaches, officials, and volunteers while providing administrative support through budgeting, purchasing, reporting, marketing, and customer service.

Position to be filled on or after September 28.

Responsibilities include:

• Planning, organizing, coordinating, and evaluating youth and adult athletic leagues, tournaments, camps, clinics, and recreational programs.
• Managing program registration, team formation, scheduling, coach recruitment, coach training, uniforms, and equipment distribution.
• Coordinating league schedules, game officials, volunteers, and seasonal staff.
• Developing new athletic and recreational programming based on community needs.
• Monitoring participation levels and recommending program improvements.
• Coordinating scheduling and use of athletic fields, gyms, courts, and recreational facilities.
• Assisting with facility rentals, tournaments, and special events.
• Evaluating field conditions and coordinating with Parks Maintenance staff to ensure facilities are safe and playable.
• Conducting routine inspections of athletic facilities and equipment.
• Assisting in developing maintenance priorities with Parks staff.
• Serving as the primary contact for coaches, participants, volunteers, officials, parents, and the public.
• Resolving customer concerns and complaints in a professional and timely manner.
• Building relationships with local schools, youth organizations, neighboring municipalities, and community partners.
• Assisting with community outreach and promotional events.
• Maintaining accurate records, reports, registrations, inventories, and program statistics.
• Assisting with preparing and monitoring athletic program budgets.
• Monitoring revenues and expenditures.
• Preparing purchase requests and maintaining inventory of athletic supplies and equipment.
• Developing reports and recommendations for departmental improvements.
• Assisting with long-range planning for athletic facilities and programs.
• Maintaining the department's athletic website and online registration system.
• Developing promotional materials, flyers, newsletters, and social media content.
• Communicating schedules, cancellations, weather updates, and program information to participants.
• Serving as Site Supervisor for games, tournaments, special events, and athletic activities.
• Coordinating evening, weekend, and holiday operations as required.
• Ensuring events are operated safely, efficiently, and professionally.
• Performing manual labor related to athletic operations, including lifting equipment, setting up fields, moving goals, and event preparation.
• Attending professional development opportunities and maintaining required certifications.
• Performing other duties as assigned.

Qualifications:

• High School Diploma or GED and a minimum of two (2) years of experience coordinating recreational sports, athletics, or community recreation programs required. An equivalent combination of education, training, and experience may be considered.
• Bachelor's Degree in Parks & Recreation, Sports Management, Recreation Administration, Physical Education, or a related field is preferred.

Working Conditions:

• Frequently reaching, sitting, standing, walking, talking, seeing, and hearing.
• Frequently lifting and carrying up to 40 pounds during event preparations.
• Work is typically performed in both a standard office and outdoor environments, with potential exposure to adverse weather conditions.

• Required to work some weekends and after-hours events.
