Paradise Law Group is a fast-growing boutique law firm focused exclusively on providing legal opinions for real estate loan transactions. We partner with some of the most recognized names in real estate law, integrating seamlessly with borrowers’ deal counsel, lender’s counsel, and our clients to produce and finalize high-quality opinions. Our team is fully remote, and this position is also fully remote. As the firm continues to grow, we are focused on building the operational structure, systems, and leadership needed to support a high-volume, high-quality legal practice. The Role We are seeking an Executive Director to serve as the administrative and operational lead of our law firm. This role is responsible for translating firm strategy into daily execution. The right candidate will help build and manage the systems, processes, people, vendors, and reporting infrastructure needed for a growing law firm to operate at a consistently high level. This is a hands-on leadership role. It requires someone who can move between high-level planning and practical execution, including operations, HR, finance administration, vendor management, compliance tracking, technology adoption, marketing coordination, and client experience. The ideal candidate is organized, systems-oriented, highly accountable, and comfortable working closely with firm ownership and attorneys. Key Responsibilities Operations & Systems Management Develop, maintain, and improve firmwide workflows, processes, and Standard Operating Procedures. Help ensure attorneys, paralegals, and administrative staff follow consistent matter-management procedures. Work with firm leadership and legal team members to identify bottlenecks, improve handoffs, and reduce administrative friction. Manage the firm’s practice management software and related technology systems. Ensure attorneys and staff are trained on firm systems, digital tools, and basic security protocols. Oversee vendor relationships, including IT, software providers, phone systems, office services, insurance providers, and other non-legal service providers. Maintain an administrative calendar for renewals, deadlines, compliance items, benefits, payroll, insurance, CLE, and other recurring firm obligations. Monitor key performance indicators, including revenue, collections, accounts receivable, profitability, matter volume, payroll costs, and operational expenses. Coordinate with outside bookkeepers, accountants, payroll providers, and tax advisors. Support firm ownership with budgeting, forecasting, expense review, and financial reporting. Help identify administrative inefficiencies, unnecessary expenses, and opportunities for improved profitability. Support year-end financial and tax coordination, including payroll reconciliation, W-2s, 1099s, owner compensation records, and tax-preparation support. Lead or coordinate recruiting, interviewing, onboarding, and integration of new attorneys and support staff. Maintain employee records, onboarding documents, offer letters, handbook acknowledgments, benefits elections, and related personnel documentation. Support basic HR administration, including employee questions, policy updates, performance documentation, and role clarity. Facilitate structured review processes and professional development plans for attorneys and administrative staff. Oversee payroll administration in coordination with payroll providers, including salary payroll, bonus payroll, reimbursements, benefits deductions, and retirement contributions. Coordinate multistate payroll registration, setup, and compliance oversight as the firm grows. Administer employee benefits in coordination with brokers and providers (healthcare) Coordinate 401(k) plan administration, including eligibility, enrollment, census data, employer contributions, notices, annual testing support, and coordination with the TPA, payroll provider, and plan advisors. Legal Administration & Compliance Track and coordinate attorney licensing, state bar renewals, CLE requirements, and related professional compliance obligations. Coordinate firm insurance renewals, including professional liability, general liability, workers’ compensation, EPLI, and cyber insurance. Maintain internal compliance checklists and administrative controls to ensure recurring obligations are completed on time. Support policy administration, including employee handbook updates, confidentiality policies, remote work policies, technology policies, expense policies, and offboarding procedures. Work with firm leadership to identify operational risk and ensure administrative issues are escalated before they become firm-level problems. Client Experience & Retention Help design and maintain a consistent client journey from intake through matter completion. Implement proactive client touchpoints, including status updates, follow-up systems, newsletters, and referral-development processes. Support systems for collecting client feedback, testimonials, reviews, and referrals. Help ensure attorneys and staff maintain consistent standards for responsiveness, communication, and professionalism. Identify opportunities to improve the client experience through better communication, process design, and technology. Marketing & Growth Coordinate the firm’s marketing channels to help maintain a consistent pipeline of new matters. Serve as the primary point of contact for external marketing agencies, consultants, website vendors, and related service providers. Help ensure marketing campaigns align with firm goals and produce a measurable return on investment. Track lead sources, intake performance, conversion rates, and matter volume. Improve intake workflows so potential clients receive prompt, professional responses. Support referral-development systems, client newsletters, reputation management, and other growth initiatives. Desired Qualifications 7+ years of experience in legal administration, law firm management, professional services operations, or a comparable COO / operations leadership role. Experience managing administrative systems in a law firm or other professional services environment. Strong working knowledge of law practice management software, CRM systems, document systems, payroll platforms, and modern business tools. Experience with HR administration, recruiting, onboarding, payroll coordination, benefits administration, and vendor management. Familiarity with 401(k) administration, healthcare plans, multistate payroll, insurance renewals, attorney licensing, CLE tracking, and year-end tax coordination. Strong financial literacy, including the ability to review reports, track KPIs, manage expenses, and support budgeting. Strong communication skills and the ability to work effectively with attorneys, staff, outside vendors, and firm ownership. Demonstrated ability to create systems, improve processes, and bring order to a growing organization. High discretion, sound judgment, and strong follow-through. Comfortable operating in a hands-on role where strategic planning and daily execution are both required. Able to provide three professional references (after interview) Ideal Candidate Profile The ideal candidate is a practical operator who enjoys building structure. You should be comfortable identifying what is not working, creating a better process, and making sure the process is actually followed. You do not need to be an attorney, but you should understand how law firms operate and be able to work effectively with attorneys and legal staff. This role is a strong fit for someone who is: Systems-first and process-oriented. Comfortable with accountability and ownership. Detail-oriented without losing sight of firmwide priorities. Strong with vendors, deadlines, calendars, and follow-through. Able to manage both people and processes. Experienced enough to operate independently, but collaborative enough to work closely with ownership. Interested in helping a growing firm scale without unnecessary bureaucracy. Success Metrics Success in this role will be measured by improvements in: Operational consistency across attorneys, paralegals, and administrative staff. Reduced administrative bottlenecks Improved financial visibility and KPI reporting. Timely completion of payroll, benefits, insurance, licensing, CLE, and compliance obligations. Stronger recruiting, onboarding, and performance management systems. Improved client communication, retention, referrals, and satisfaction. Better marketing and intake tracking. Higher internal confidence in firm systems and administrative execution. Salary range: $135,000–$175,000 base salary , with performance-based bonus for a candidate who can independently manage operations, HR, finance administration, marketing coordination, compliance tracking, and firmwide systems. Bonus Pay Healthcare: 100% employer-paid premium on most plans (HSA eligible). Retirement: 401(k) with 5% matching & profit sharing (subject to eligibility and vesting).
