Payroll Specialist

The Payroll Specialist is responsible for supporting the accurate and timely processing of payroll and payroll-related functions for employees and providers. This role serves as a primary payroll contact for employees, maintains payroll records, performs reconciliations, and ensures compliance with applicable payroll laws and company policies. Duties and Responsibilities Payroll Processing & Administration Process bi-weekly payroll accurately and on schedule through the HRIS/payroll system. Review and enter payroll-related changes including new hires, terminations, pay changes, garnishments, and direct deposit updates. Audit payroll data prior to processing to ensure accuracy and compliance with company policies and payroll regulations. Assist with payroll reconciliations including taxes, garnishments, earnings, and other payroll-related items. Respond to employee payroll inquiries and resolve discrepancies in a professional and timely manner. Maintain accurate payroll records and documentation in accordance with company retention requirements. Support off-cycle payrolls, adjustments, retroactive payments, and manual checks as needed. Coordinate with HR to ensure employee data changes are accurately reflected in payroll systems. Compliance & Reporting Support payroll tax processing, reconciliation, and reporting activities, including quarterly and year-end processes. Assist with preparation and reconciliation of payroll reports, general ledger reports, and audit documentation. Maintain knowledge of federal, state, and local payroll regulations and wage and hour requirements. Support internal and external audits by providing requested payroll documentation and reports. Ensure confidentiality and security of employee payroll and compensation information. Process Improvement & Collaboration Identify payroll process improvement opportunities to increase accuracy and efficiency. Partner with HR, Finance, and vendors to support payroll operations and issue resolution. Assist with payroll system testing, implementations, upgrades, and process documentation as needed. Support department initiatives and special projects related to payroll and compliance.
