The Membership Engagement Coordinator is responsible for supporting member services, chapter events, communications, and daily office operations. This position serves as a key point of contact for members while ensuring accurate membership records, successful event execution, effective chapter communications, and exceptional customer service. The coordinator works closely with the Chapter Executive Director (CED), Marketing Consultant, committee leaders, volunteers, and members to support the chapter's mission and strategic goals.

Essential Responsibilities

Membership Services

• Assemble and distribute new member welcome materials.
• Maintain accurate member records within the Association Management System (AMS).
• Process membership changes, updates, and profile modifications.
• Upload and reconcile membership reports from Headquarters (HQ).
• Review and merge duplicate membership records as needed.
• Prepare membership reports and provide support to the Membership Committee.
• Respond to member inquiries and provide outstanding member service.

Events & Meeting Support

• Download and manage registration reports from AMS.
• Coordinate meeting materials, reports, agendas, and new member information with the CED.
• Organize and maintain event and meeting supplies for easy transport and setup.
• Ensure laptops, credit card processing equipment, and other technology are fully charged and operational.
• Prepare materials and meeting spaces for committee, educational, and Board of Directors meetings.
• Process attendance records and update AMS with attendee and no-show information.
• Verify walk-in registrations and communicate payment information to the Bookkeeper.
• Scan, file, and maintain registration and attendance records.
• Provide presenter attendee lists, CAM reports, and educational documentation as required.

Communications & Marketing Support

• Assist with the preparation, proofreading, and distribution of chapter email communications.
• Work with the Marketing Consultant to execute marketing campaigns and member communications.
• Support social media efforts by gathering content and promoting chapter programs, events, committees, and initiatives.
• Assist committee leaders with communication needs and promotional efforts.
• Help ensure consistent messaging and branding across chapter communications.

Office Administration

• Serve as the office receptionist and primary point of contact for members, visitors, and vendors.
• Answer incoming calls and respond to member questions or direct inquiries to the appropriate staff member.
• Coordinate incoming and outgoing supplies, materials, and member-related deliveries.
• Support the day-to-day administrative functions of the chapter office.
