As our firm continues to grow, we are looking for dependable team members who can help us maintain the accuracy, organization, and efficiency of our day-to-day operations. We are seeking a detail-oriented and dependable Scanner to join our team. The Scanner will be responsible for scanning, digitizing, organizing, and properly filing large volumes of legal and client-related documents. This position plays an important role in ensuring that physical documents are accurately converted into electronic records and are readily accessible to the appropriate departments. The ideal candidate is highly organized, comfortable working in a fast-paced environment, able to handle repetitive tasks with consistent accuracy, and understands the importance of confidentiality when working with sensitive client information. Responsibilities Scan and digitize legal documents, client records, correspondence, medical records, bills, and other case-related materials. Ensure all scanned documents are clear, complete, legible, and properly oriented. Upload and organize electronic documents into the firm's case management/document management system. Accurately label, categorize, and file documents according to established office procedures. Verify that all pages have been scanned and that documents are assigned to the correct client and case. Identify and report missing, duplicate, incomplete, or incorrectly filed documents. Maintain organized physical and electronic files. Handle confidential client information and legal documents with discretion and professionalism. Process documents in a timely manner while maintaining a high level of accuracy. Assist various departments with locating and organizing documents when needed. Follow established procedures for document retention, organization, and disposal. Communicate any issues with scanning equipment, software, or document processing to the appropriate supervisor. Assist with general administrative and clerical duties as assigned. Maintain a clean and organized scanning/document processing area. Qualifications High school diploma or equivalent preferred. Previous experience in a law firm, office, records management, scanning, data entry, or administrative environment is preferred but not required. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to work independently and manage repetitive tasks efficiently. Ability to handle confidential and sensitive information appropriately. Basic computer skills and the ability to learn new software and systems quickly. Ability to work in a fast-paced office environment and meet deadlines. Strong communication skills and a professional attitude. Ability to follow written and verbal instructions. Reliable attendance and punctuality are required.
