REPORTS TO: Quality Control Supervisor

FLSA STATUS: Non-Exempt

SUMMARY:

The Quality Control Administrator Level I is an entry-level position supporting the Quality team in maintaining accurate inspection documentation, controlling calibrated instrumentation, and ensuring compliance with company and customer requirements. This role focuses on organizing and pre-populating inspection reports, managing quality records, overseeing the maintenance and calibration schedules for Measuring and Test Equipment (M&TE), and assisting with daily administrative tasks within the department. It serves as a strong starting point for individuals seeking a career in quality assurance or manufacturing administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Inspection Report Preparation

  • Pre-populate inspection reports with part numbers, batch details, specifications, and inspection criteria.

  • Maintain and update inspection report templates to ensure consistency.

  • Ensure completed reports are properly organized and prepared for Quality Inspectors.

M&TE Calibration

  • Maintain the M&TE list and track calibration status for all Measuring and Test Equipment (M&TE).

  • Schedule, coordinate, and track internal and third-party calibrations to ensure equipment remains within active calibration intervals.

  • Issue, log, and organize physical calibration labels, certificates, and maintenance records.

Quality Administration

  • Assist with creating, filing, and managing quality records and certificates.

  • Support document control by ensuring quality documents are up to date and correctly versioned.

  • Assist in preparing documentation for internal reviews or customer audits.

Data Entry & Record Keeping

  • Input production, calibration, and inspection data into quality databases or spreadsheets.

  • Review information for accuracy and completeness.

  • Assist in compiling basic quality metrics and reporting summaries.

Team Support

  • Work closely with inspectors, engineers, and cross-functional departments to ensure smooth documentation flow.

  • Participate in training to develop knowledge of quality systems, metrology, and calibration processes.

  • Support general administrative functions within the Quality Department.

SUPERVISORY RESPONSIBILITIES:

This position has no direct supervisory responsibilities; however, it may provide direction to project coordinators, QA/engineering staff, or shop personnel regarding documentation priorities.

EDUCATION and/or EXPERIENCE:

  • Strong attention to detail and accuracy.

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Strong organizational and time-management skills.

  • Clear verbal and written communication skills.

  • Willingness to learn quality systems, inspection processes, and industry standards.

Desirable:

  • Previous administrative experience.

  • Familiarity with manufacturing or technical documentation.

  • Basic understanding of inspection principles (training provided
