Schedule: Full-Time | Monday–Friday | 8:00 AM–3:00 PM

 

Prime Oneonta Rentals is seeking an organized, detail-oriented, and customer-focused Office Assistant / Communications Coordinator to support our student housing and vacation rental operations. This role serves as the primary point of contact for tenants, guests, property owners, and vendors while assisting with leasing, communications, scheduling, and day-to-day office operations.

No two days are the same. As the seasons change, so do our priorities—from student move-ins and leasing to summer vacation rentals and guest services. We're looking for someone who enjoys helping people, thrives in a fast-paced environment, and takes pride in keeping things organized.

 

Responsibilities

• Respond to tenant, guest, owner, and vendor communications via phone, email, text, AppFolio, and Guesty.
• Coordinate maintenance appointments, showings, inspections, and vendor schedules.
• Assist with leasing, lease follow-up, rent reminders, and move-in/move-out communications.
• Schedule appointments and maintain office calendars.
• Maintain office records, spreadsheets, filing systems, and key inventory.
• Support vacation rental operations, including guest communications, online reviews, welcome guides, and guest materials.
• Assist with seasonal projects, marketing initiatives, and general office administration.
• Work collaboratively with the office and maintenance teams to provide exceptional customer service.

 

Qualifications

• Friendly, positive, and outgoing personality with a passion for helping others.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Comfortable multitasking in a fast-paced office environment.
• Basic knowledge of Microsoft Excel or Google Sheets.
• Tech-savvy and able to quickly learn new software and online platforms.
• Reliable, self-motivated, and able to work both independently and as part of a team.
• Previous office, customer service, hospitality, or property management experience is a plus, but not required.
