Chief of Staff KC is seeking a polished, highly organized, and service-oriented Client Service Associate for a client within the Kansas City Metropolitan area. This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys creating exceptional experiences while keeping day-to-day operations running seamlessly.

Responsibilities

• Provide a warm, professional welcome to clients, visitors, vendors, and business partners, creating an exceptional first impression.
• Deliver a concierge-style client experience by building relationships and providing personalized service.
• Schedule, confirm, and coordinate client appointments and meetings.
• Prepare materials and documentation for client meetings.
• Manage client documents by scanning, organizing, uploading, and maintaining confidential records.
• Coordinate incoming and outgoing mail, packages, and other office correspondence.
• Oversee daily office operations, including ordering supplies, maintaining common areas, and ensuring the office remains organized and welcoming.
• Assist with planning and executing client events, including event logistics, setup, attendee tracking, and post-event follow-up.
• Coordinate materials while helping ensure project deadlines are met.
• Maintain accurate client and event records within Salesforce CRM.
• Coordinate client recognition initiatives, including birthday, anniversary, and holiday cards, gifts, charitable donations, and prize giveaways.
• Support social media scheduling and marketing initiatives.
• Utilize Microsoft Office and emerging technology, including AI tools, to improve administrative efficiency and streamline workflows.

Qualifications

• Bachelor's degree required.
• Two plus years of experience in the financial services industry
• Previous experience in an administrative, client service, hospitality, or office coordination role.
• Strong proficiency with Microsoft Office; comfortable learning and utilizing new technology and AI tools.
• Exceptional organizational skills with outstanding attention to detail.
• Ability to prioritize multiple projects and meet deadlines in a dynamic environment.
• Excellent verbal and written communication skills.
• Professional, polished, and personable with a genuine passion for providing exceptional customer service.
• Experience within financial services and/or Salesforce CRM is preferred but not required.
