Job Description:

We are seeking a detail-oriented Marketing and Brokerage Coordinator who combines strong marketing production skills with dependable administrative follow-through. You will help our team bring industrial properties to market, prepare persuasive client materials, maintain accurate listing and contact information, and keep brokerage assignments organized from initial inquiry through transaction completion. You will work closely with our brokers, leadership, development, and property management teams.

Responsibilities:

• Marketing collateral: Create and update property flyers, brochures, offering memorandums, tour books, maps, signage, and team credentials using VSRE templates. Coordinate photography, aerial imagery, video, printing, and other vendors within approved budgets.
• Listing platforms: Maintain property information on the VSRE website and approved platforms such as CoStar and LoopNet. Confirm availability, suite sizes, asking terms, photographs, and broker contacts; promptly update or remove listings when status changes.
• Industrial property information: Organize and verify building and site specifications, including clear height, loading, office area, power, truck access, and delivery timing. Identify missing or inconsistent information and obtain confirmation before publication.
• Proposals and pitches: Assemble listing presentations, leasing proposals, responses to requests for proposals, market surveys, and comparable-property summaries. Gather broker-approved pricing, research, case studies, and team qualifications.
• CRM and reporting: Maintain accurate owner, tenant, prospect, and broker records; record inquiries, activity, assignments, and next steps; resolve duplicate records; and prepare pipeline, tour, and landlord marketing activity reports.
• Market research and reporting: Collect, organize, and verify market statistics and research provided by the team, and use company templates to prepare recurring market overview reports. Coordinate team input, maintain consistent formatting and source references, and ensure reports are accurate and completed on schedule.
• Digital marketing and social media: Manage VSRE’s social media accounts and content calendar; create, schedule, and publish approved property listings, company news, market insights, and other marketing content. Coordinate organic and paid social media campaigns within approved budgets, monitor engagement and inquiries, route leads to brokers, and report campaign performance. Support email campaigns and website updates while maintaining consistent branding and messaging across digital channels.
• Transaction coordination: Maintain deal checklists, document versions, signature status, and broker-confirmed deadlines. Assemble approved letters of intent and proposal packages, coordinate document circulation, and provide complete transaction and commission documentation to accounting.
• Lease abstraction and commission documentation: Review and abstract key lease terms, including lease dates, rental schedules, concessions, and other provisions relevant to commission calculations. Use lease abstracts and applicable commission agreements to prepare accurate commission vouchers and invoices for broker and accounting review.
• Brokerage administration: Coordinate calendars, property tours, client meetings, events, and meeting materials. Track follow-up items, organize shared files, process approved expenses and vendor invoices, and help the team meet competing deadlines.
• Quality control: Check facts, calculations, spelling, branding, links, image rights, and version consistency before release. Maintain organized templates and source files, obtain required approvals, and protect confidential client and transaction information.

Qualifications:

Required

• At least 3 years of relevant marketing, brokerage support, or professional services coordination experience, with examples of polished client-facing materials.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, plus Adobe InDesign or a comparable professional layout tool; ability to learn and maintain VSRE templates.
• Strong writing, proofreading, organization, and client service skills; ability to manage multiple deadlines, work independently, and follow through with colleagues and vendors.
• Experience maintaining contact databases or CRM records and producing digital or email marketing content.
• Ability to interpret commercial lease terms, prepare lease abstracts, and calculate commissions using applicable agreements and company templates.
• Experience managing business social media accounts and coordinating content calendars and campaigns.
• Ability to organize market data in Excel and prepare accurate recurring reports using company templates.

Preferred

• Commercial real estate experience, especially industrial leasing or sales in South Florida; familiarity with CoStar, LoopNet, and brokerage transaction workflows.
• Bachelor’s degree in marketing, communications, business, or a related field; Adobe Creative Cloud experience; website content management and campaign reporting skills; professional Spanish communication skills.
