Gendelberg Law, PLLC, a growing immigration law firm, is seeking a highly organized, dependable, discreet, and proactive Executive Personal Assistant to provide direct support to the Firm's Managing Attorney. This is an excellent opportunity for an experienced professional who enjoys working closely with an executive, managing multiple priorities, and helping ensure that both professional and personal responsibilities are handled efficiently and seamlessly. Position Overview The Executive Personal Assistant will work directly with the Managing Attorney and will be responsible for assisting with a broad range of professional, administrative, organizational, and personal matters. The ideal candidate will be highly dependable, exceptionally organized, detail-oriented, and comfortable working in a fast-paced environment where priorities may change throughout the day. Responsibilities will include Managing and coordinating the Managing Attorney's daily schedule and priorities. Maintaining and organizing calendars, appointments, meetings, and reminders. Coordinating meetings and communicating with employees, clients, attorneys, vendors, and other professional contacts. Managing and prioritizing emails, correspondence, telephone calls, and other communications. Preparing, reviewing, organizing, and maintaining documents and records. Assisting with travel arrangements, reservations, transportation, and itineraries. Scheduling and coordinating professional and personal appointments. Assisting with personal errands and other personal matters as needed. Tracking important deadlines, appointments, commitments, and follow-up items. Providing reminders and ensuring that important matters are completed on time. Assisting with Firm management and administrative projects. Communicating with Firm managers and employees on behalf of the Managing Attorney when appropriate. Coordinating with outside professionals, service providers, vendors, and other contacts. Conducting research and gathering information as requested. Assisting with purchases, orders, reservations, and other logistical matters. Maintaining strict confidentiality regarding professional, financial, personnel, client, and personal matters. Anticipating needs and proactively addressing issues before they become problems. Helping organize and prioritize the Managing Attorney's professional and personal responsibilities. Performing other executive, administrative, and personal-assistance responsibilities as needed. Qualifications Prior experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Manager, or in a similar professional support role. Exceptional organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and follow-through. The ability to manage multiple responsibilities and changing priorities simultaneously. A proactive approach and the ability to anticipate needs rather than simply wait for instructions. Excellent professional judgment and problem-solving abilities. A high level of discretion and the ability to handle sensitive and confidential information. Strong interpersonal skills and the ability to communicate professionally with employees, clients, attorneys, vendors, and other contacts. The ability to work independently while remaining responsive and accessible. Strong computer and technology skills, including proficiency with Microsoft Office, email, calendars, and other common business applications. Experience working with senior executives, business owners, attorneys, or other professionals is strongly preferred. Experience working in a law firm or other professional-services environment is preferred, but not required. We believe in rewarding employees who grow with the Firm. Our compensation and benefits package includes: Starting salary of up to $90,000 per year, depending on experience. Salary reviews and increases every six months.
