Risk and DOT Compliance Coordinator

POSITION SUMMARY Under general guidance of the General Manager, the Risk and Safety Compliance Coordinator plans, directs, and manages the activities of a risk management program to protect VinLux through risk avoidance and reduction. Loss exposure and costs are reduced through management of safety and loss control, general liability and property programs, along with maintaining compliance with company policies, all local and federal state laws and regulations, including OSHA, DOT, CHP and various other regulations and codes. This hands‑on position will function as a liaison, supporting management and employees in maintaining a safe and healthy work environment. ESSENTIAL FUNCTIONS/DUTIES Duties may include, but are not limited to, the following: Develop, implement and oversee on‑going safety and risk management training programs for VinLux employees to include training seminars, identifying hazards and exposures prior to loss, accident and incident report preparation, etc. Produce, maintain and track required safety training, records and retention. Conduct monthly safety inspections for operations in Northern and Southern CA. Coordinate, oversee, and provide guidance to all departments on safety program development and implementation, and on identifying, evaluating, eliminating, or reducing risks. Maintain current knowledge of laws/regulations pertaining to safety, safety programs and compliance and provide frequent and on‑going updates for VinLux. Develop and maintain effective communications and relationships with all staff and assists management in conducting detailed accident investigations and remediation. Respond and assist to safety audits and investigations. Coordinate driver training and skill assessment to include onboarding training and orientation, remedial training. Maintain and assist with compliance of DOT and FMCSA regulations. Responsible for conducting all tasks associated with driver qualifications, driver training and driver records while identifying and resolving compliance and non‑compliance issues and resolving them in a timely manner. Conduct weekly audits of drivers to ensure compliance and productivity through a fleet management and tracking software system. Issue and maintain fleet cards for company drivers and company‑owned power units. Maintain roadside inspections and citations including overweight, traffic violations, etc. Review Driver Vehicle Inspection Reports (DVIR) daily and communicate with driver management to correct and validate the resolution. Responsible for maintaining compliant files and records and efficient use of Hours of Service. Manage safety and quality incident tracker associated with all not at fault and at fault incidents. Maintain internal database with current driver status, license information, and DOT compliance information. Manage driver logs to ensure timely and accurate completion, as well as compliance with Federal DOT regulations. Investigate and track all accidents to meet both company and FMCSA and DOT requirements. Assume primary responsibility and be point person in responding to personal injury and vehicle accidents with investigations. Determination of cause and preventability and identifying potential trends. Process, administer and manage all injury and liability claims and work closely with the Human Resources Department in accordance with company policy. Provide expertise in all matters related to OSHA regulations and ensure company operations are compliant at all times. Maintain OSHA logs and annual OSHA reporting and submission of workplace injuries to DOL via ITA system. Ensure required regulatory and compliance postings in all locations. Implement injury and illness prevention plan, emergency action plan and schedule appropriate safety drills. Conduct the renewal and MCS‑150 filing for the company every other year. Oversee Department of Motor Vehicle Employee Pull Notice Program for both facilities. Perform other duties as assigned. REPORTING TO THIS POSITION None JOB REQUIREMENTS Essential Skills/Abilities, Experience, and Education Skills/Abilities Previously provided safety compliance to a workforce or trucking fleet. Working knowledge of worker’s compensation system and OSHA in California including workplace safety and reporting. Ability to read and interpret documents relating to safety rules, maintenance and operating instructions as well as technical procedure manuals and government regulations. Ability to effectively present information as well as the ability to write routine reports and correspondence and produce useful management reports. Must be able to travel between both company facilities in Northern and Southern CA, as required. Strong organizational, interpersonal and communication skills with the ability to assess, coach, train and mentor employees. Fluency in Spanish, both oral and written is highly desired. Knowledge of general and auto liability claims administration. Injury and damage claim investigation; principles and procedures of accident prevention. Effectively plan, organize, conduct and coordinate a comprehensive risk management program. Maintain highest levels of integrity and confidentiality with sensitive information encountered during the course of work and use sound professional judgment and ethics. Able to utilize latitude given within job parameters to make independent decisions. Capability to take initiative, problem solve, handle multiple tasks, ability to reprioritize duties and work well under pressure to meet deadlines. Ability to manage multiple projects, establish priorities, and accomplish goals and objectives. Computer Skills Proficient to advanced level for Microsoft Programs including Word, Excel and Outlook. Experience 3 years+ of Safety experience in related transportation compliance. 3 years+ with FMCSA and DOT requirements. 2 years+ of Electronic Log compliance. Expertise and extensive knowledge of DOT rules and regulations. Education A Bachelor’s degree from an accredited college or university in occupational health, occupational safety or a closely related field. WAGE TRANSPARENCY The base pay for this role ranges from $70,304 through $103,818 annually. Compensation will be determined by candidate experience, skills, and location.
