POSITION SUMMARY

The Emergency Department (ED) Unit Coordinator utilizes strong interpersonal and organizational skills to support an efficient and well-functioning clinical environment. The Unit Coordinator managing patient reception, communication, and clerical tasks. Key duties include answering multi-line phones, maintains and organizes medical records, orders and tracks departmental supplies, and communicates effectively with team members and ancillary services to support patient care operations. The coordinator demonstrates professional telephone etiquette, handles inquiries with diplomacy, and ensures strict adherence to patient confidentiality standards.

DEPARTMENT SCOPE OF SERVICE

The Emergency Department is a Level III facility according to the guidelines of the Accreditation Manual for Hospitals. The 14-bed unit is always open 24 hours a day with at least one physician on duty and a roster of on-call physicians and specialists available within thirty minutes. Registered nurses staff the department. All nurses are ACLS/PALS/BLS certified. The patient population includes patients of all ages, and care provided ranges from definitive treatment of non-urgent, urgent and emergent medical and surgical conditions to stabilization and transport of the critically ill or injured. Birthing Center nursing staff are available for consultation or to assist in the care of neonates, infants and obstetrical patients.

Customer Service and Patient Relations

  • Demonstrates excellent customer service to maintain positive patient relations.
  • Communicates clearly, directly, and courteously with patients and their families while maintaining discretion and confidentiality.
  • Responds promptly and professionally to telephone calls, HEAR radio, and TTY communications.
  • Ensures compliance with all HIPAA regulations, including safeguarding patient information and restricting unauthorized access to admitting areas and records.
  • Routes call appropriately and efficiently.
  • Reports suspicious calls to the nursing team leader or nursing supervisor as needed.
  • Does not provide medical advice to patients.
  • Maintains a calm, efficient, and competent demeanor in all duties.
  • Uses sound judgment in prioritizing registration tasks.
  • Refers patients to the business office for financial-related inquiries when appropriate.
  • Obtains accurate and complete demographic information when processing patient registrations
  • Ensures all patient demographic information is complete and up to date.
  • Collects guarantor details, as well as next of kin, spouse, or other responsible relatives.
  • Updates patient registration records whenever new or corrected information is received.
  • Facilitates the collection and distribution of patient information
  • Updates patient information in the EMR as necessary.
  • Processes chart for HIM
  • Processes downtime forms or paper requisitions as needed.
  • Arrange transport for transferring patients to Psychiatric facilities, Nursing Homes, Higher Level of Care or Private Residences.
  • Copies record as necessary for transferring of patients.
  • Receives and transmits faxes as appropriate.
  • Prints Ambulance Reports to place in EMR.
  • Facilitates the admitting process for Inpatient/Observation or Surgery admissions in the EMR.
  • Answers the EMS radio as necessary and documents information received.
  • Arranges TelePsych and TeleNeuro consults through DHMC
  • Assists with arranging Helicopter Transfers and notifying appropriate staff with ETA of landing
  • Process forms for OrthoCare ensuring accuracy and attaching appropriate documentation.
  • Distribute proper paperwork for involuntary psychiatric patients to clinicians and follow the proper procedures to complete the process timely.
  • Assist in initiation of Interpreter services using hospital policy and procedures.
  • Maintain the cardiovascular list in the EMR for outstanding EKG’s and reconcile
  • Participates in Direct Patient Care as Appropriate
  • Transports patients to other departments as requested.
  • Prepare and cleans examination rooms as needed.
  • Assists with lifting and moving patients safely from one location to another.
  • Performs EKG’s
  • Answers patient/bathroom call lights
  • Supports Daily Unit Operations to Ensure Efficiency
  • Completes and distributes the daily triage call sheet.
  • Ensures an adequate supply of ED forms is available and verifies that all forms are the most current versions.
  • Maintains an up-to-date directory of telephone numbers for staff, physicians, community resources, and in-hospital services.
  • Assists ED Clinicians in paging/calling consulting Clinicians.
  • Communicates STEMI, STROKE, TRAUMA, SEPSIS alerts to appropriate staff
  • Submit email tickets for Plant Services/Help Desk for repair needs.
  • Hospital Alarms, Emergency Codes, and Phone Responsibilities
  • Demonstrates the knowledge and ability to promptly assess and respond according to established protocols for all hospital alarms and emergency codes received in the Emergency Department.
  • Preceptor / Orientation Responsibilities
  • Serves as a resource and coordinator for the orientee throughout the orientation process.
  • Acts as a role model by adhering to established standards of practice and BMH policies and procedures.
  • Reviews and monitors completion of the orientee’s skills checklist.
  • Assesses the orientee’s current skill and knowledge level.
  • Develop plans and identifies resources to support the orientee in acquiring necessary skills.
  • Provides direct observation along with timely, ongoing feedback—both positive and constructive—regarding performance.
Requirements:

QUALIFICATIONS

EDUCATION:

  • High school graduate or equivalent.

EXPERIENCE/SKILL SETS:

  • Experience in a health care environment preferred.
  • Knowledge of Medical terminology preferred.

LICENSURE/CERTIFICATION(S):

  • Current Healthcare Provider CPR certification required.

The listed range represents the pay scale reasonably expected for a successful candidate based on factors such as relevant experience, education, internal equity, and market competitiveness.
