Order Management Specialist

Job Description

We are looking for a Customer Operations / Order Management Specialist to process customer purchase orders, manage orders, handle billing, and provide excellent customer support. The ideal candidate has experience with order entry, ERP systems, billing, and customer service .

Key Responsibilities

Review and process incoming customer purchase orders accurately.
Enter and update customer and order information in ERP systems .
Review quotations, contracts, and company policies when processing orders.
Work with customers and internal teams to resolve order issues.
Manage orders from entry through shipment and billing .
Process order changes and updates.
Identify and resolve billing discrepancies and order problems.
Generate and send customer invoices.
Communicate with customers regarding order status, issues, and requests.
Escalate critical issues or potential risks to management.
Identify opportunities to improve order processing and customer service.
Maintain accurate customer records and documentation.
Support the Customer Operations team with additional duties as needed.

Requirements

High school diploma/GED with 4+ years of customer service experience , OR
4-year college degree with 1+ year of customer service experience .
Order entry and order management experience preferred.
ERP system experience strongly preferred.
Experience with billing, invoicing, or purchase orders is a plus.
Strong attention to detail.
Good problem-solving and analytical skills.
Ability to manage multiple tasks and high-volume transactions.
Strong written and verbal communication skills.
Proficiency in Microsoft Excel, Word, and Outlook .
Ability to work independently with minimal supervision.
Strong teamwork and willingness to learn.
