Reports to: Director of Operations

THE POSITION_

The Accounting Manager oversees the organization's accounting and financial reporting functions, ensuring accuracy, compliance, and timely financial information to support organizational decision-making. This position manages the accounting cycle, grant financial management, audit coordination, government reporting, cash management, and financial systems while maintaining strong internal controls and compliance with nonprofit accounting standards.

Because PRO Youth's funding is primarily derived from federal, state, and local grants, this position plays a critical role in ensuring compliance with grant requirements, financial reporting obligations, and stewardship of public funds. The Accounting Manager also supports the organization's unique role in distributing grant funds to community partner organizations and monitoring related financial activities.

This position works closely with executive leadership, program staff, funding agencies, auditors, and community partners.

KEY RESPONSIBILITIES

Financial Management & Accounting Operations

• Manage the organization's day-to-day accounting operations.
• Oversee the monthly and year-end closing process.
• Maintain the general ledger and chart of accounts.
• Prepare journal entries and account reconciliations.
• Review accounts payable and accounts receivable activities.
• Manage bank reconciliations and cash balances.
• Monitor cash flow and liquidity needs.
• Manage fixed asset accounting and depreciation schedules.
• Administer line of credit activity as needed.
• Maintain accounting records in accordance with Generally Accepted Accounting Principles (GAAP).

Grant Accounting & Compliance

• Establish and maintain grant budgets within the accounting system.
• Track grant expenditures for multiple federal, state, local, and private funding sources.
• Ensure expenditures comply with grant requirements and funding restrictions.
• Prepare grant financial reports and reimbursement requests.
• Monitor indirect cost allocations.
• Upload required financial documentation through grantor portals.
• Coordinate financial reporting for partner organizations receiving pass-through funding.
• Monitor grant spending to ensure timely utilization of funds.
• Assist program managers with budget development and financial monitoring.
• Maintain documentation supporting grant expenditures and compliance.

Financial Reporting

• Prepare monthly financial statements and internal management reports.
• Prepare financial reports for executive leadership and the Board of Directors.
• Assist with annual organizational budgeting and forecasting.
• Prepare cash flow projections.
• Develop financial analyses to support organizational planning and decision-making.

Audit & Regulatory Compliance

• Collaborate with the Director of Operations, CEO, and Auditor during the annual financial audit.
• Coordinate preparation of audit schedules and supporting documentation.
• Assist with preparation of IRS Form 990 and California Form 199.
• Coordinate annual Attorney General Registry reporting.
• Maintain SAM registrations and other required government registrations.
• Ensure compliance with applicable accounting standards, grant regulations, and organizational policies.
• Recommend and implement improvements to accounting policies and internal controls.

Financial Systems

• Maintain accounting software and related financial systems.
• Develop, document, and improve accounting procedures.
• Support implementation of financial process improvements.
• Maintain financial records in accordance with organizational retention requirements.
• Ensure appropriate internal controls over financial transactions.

Collaboration

• Assist staff with grant budget development.
• Participate in organizational planning and strategic initiatives.

Other duties, as assigned.

QUALIFICIATIONS

Experience:

• Five years of progressively responsible accounting experience.
• Experience with nonprofit accounting.
• Experience managing multiple funding sources and grant accounting.
• Experience preparing financial statements and audit schedules.
• Experience with governmental or federally funded grants preferred.

Education:

• Bachelor's degree in Accounting, Finance, Business Administration, or closely related field

LOCATION AND HOURS

Our typical business hours are Monday through Friday, 8:30am to 5:00pm. This position requires flexibility to meet organizational needs. Availability outside of standard hours, including evenings and weekends, may be required to support operations, events, or urgent matters.

This position is based in our Sacramento offices with an expectation of regular in-person presence to support our team, operations, and program development.
