Job Title

Under direction, performs a variety of responsible and difficult clerical tasks which involve computing, classifying, verifying, and recording numerical data and the reconciliation of accounts, records, and documents to keep sets of financial records complete and/or takes the lead over other employees in the maintenance of accounting records; does other related duties as required.

Examples Of Work:

• Posts and processes revenue, expense, cash receipt, accounts payable, accounts receivable, and other financial transactions; assigns appropriate accounting codes and classifications and ensures transactions are recorded accurately and within the appropriate accounting period.
• Reviews, verifies, reconciles, and processes financial documents, vouchers, reports, applications, and records for completeness, mathematical accuracy, proper accounting classification, and compliance with applicable requirements; researches and resolves discrepancies, errors, and irregularities.
• Prepares requisitions, vouchers, adjustment vouchers, balance statements, listings of charges and payments, and other financial documents; processes changes to financial data and liquidates outstanding obligations and receivables.
• Investigates irregular charges, billings, refunds, and delinquent accounts; maintains communication with operating units and other parties to obtain missing information, resolve discrepancies, and ensure deadlines are met.
• Performs financial calculations, including interest charges, refunds, averages, percentages, and other data according to established formulas.
• Maintains accounting, financial, statistical, inventory, allotment, and control records, including records of merchandise, materials, equipment, stock, quarterly and annual allotments, and outstanding obligations.
• Establishes and maintains controls to prevent over-obligation of funds and prepares documents for computerized processing, including assigning transaction codes and verifying proper data entry.
• Prepares routine and special reports and compiles data for budgets, financial statements, audits, and other required reporting; provides information and assistance during audits.
• Communicates with County departments, vendors, the Superior Court of New Jersey, Administrative Office of the Courts, Office of the Attorney General, other County Prosecutors' offices, and outside agencies regarding funding, transactions, reporting requirements, and compliance.
• Obtains product quotes in accordance with public contracting laws and regulations; manages vendor registration and authorization, processes product orders, and receives and distributes vendor orders.
• Prepares routine correspondence, requests missing information or documentation, responds to inquiries, and provides information by telephone and in person; reviews and adjusts routine complaints and transactions as appropriate.
• Provides assignments, instructions, advice, and guidance to employees; may serve as a lead worker, train new employees, and occasionally supervise a designated phase of clerical activities.

Experience: One (1) year of experience in the preparation, maintenance, and/or review and verification of financial records.

License: Appointees will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform essential duties of the position.

Knowledge And Abilities:

• Knowledge of accounting clerical methods, procedures, forms, terminology, codes, classifications, office practices, and financial recordkeeping.
• Knowledge of basic accounting principles and arithmetic functions.
• Ability to understand and apply accounting codes and classifications and the relationships among accounting records, documents, and transactions.
• Ability to perform routine clerical work requiring close attention to numerical and verbal detail; review, compare, and verify data and identify discrepancies or errors.
• Ability to perform basic arithmetic calculations, including addition, subtraction, multiplication, division, averages, and percentages, and correct computation errors.
• Ability to understand and follow oral and written instructions and communicate effectively with employees, vendors, agencies, and the public.
• Ability to maintain accurate records, compile financial and statistical data, and learn and utilize electronic and manual accounting and information systems.
• Ability to lift up to 25 pounds.

Rate: $23.71 per hour, 35 hours per week
