Job Summary

We are seeking an experienced Project Coordinator to support project planning, coordination, documentation, reporting, and communication across internal teams. This is a 12-month temporary position that is currently remote.

The ideal candidate will have approximately three years of project coordination or comparable experience and be highly proficient with Microsoft Project, Microsoft Excel, and Microsoft Word . Strong organizational, communication, documentation, and multitasking skills are essential for success in this fast-paced, deadline-driven environment.

Microsoft Project proficiency is required. Candidates should have hands-on experience using Microsoft Project to create and maintain project schedules, project plans, timelines, task assignments, dependencies, and/or other project management documentation.

Important Location Requirement

Although this position is currently remote, candidates must live in or near Rancho Cordova, CA , as the selected candidate will be required to retrieve company equipment from the Maximus office.

Equipment Pickup Location: 11050 Olson Drive, Suite 100, Rancho Cordova, CA 95670

A suitable and reliable home workspace is required for remote work. If a candidate does not have an adequate home work environment, they may be required to work from the Rancho Cordova facility.

Key Responsibilities

• Track project progress and monitor deadlines to help ensure projects are completed within established schedules.
• Communicate project timelines and deadlines to stakeholders.
• Establish and maintain engagement across teams to ensure project goals and objectives are achieved.
• Prepare project work summary readouts and status reports.
• Maintain accurate project documentation, including meeting minutes, action items, project plans, and related materials.
• Track and document lessons learned throughout the project lifecycle.
• Collaborate with internal teams to identify project requirements, risks, challenges, and opportunities for improvement.
• Identify and implement process improvements to streamline project coordination and increase efficiency.
• Help define system changes needed to support project processes.
• Ensure project correspondence meets organizational standards for spelling, grammar, punctuation, and professional communication.
• Maintain current knowledge of applicable contract compliance requirements for the project and department.
• Follow established company policies and procedures.
• Handle confidential and sensitive operational information appropriately.
• Adapt to changing priorities, project requirements, and deadlines.
• Perform multiple complex tasks simultaneously while maintaining accuracy and organization.
• Perform other duties as assigned by management.

Required Qualifications

• High School Diploma, GED, or equivalent certification.
• Approximately 3 years of experience as a Project Coordinator or in a comparable project-related role .
• Proficiency with Microsoft Project is required.
• Strong proficiency with Microsoft Excel and Microsoft Word .
• Experience with project schedules, project plans, status reporting, documentation, and project coordination.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Strong interpersonal and collaboration skills.
• Transcription skills.
• Knowledge of general office equipment and standard office procedures.
• Ability to handle confidential and sensitive information.
• Ability to work effectively in a fast-paced, deadline-oriented environment.
• Ability to manage multiple complex tasks and competing priorities.
• Ability to work effectively both independently and as part of a team.
• Must be able to remain in a stationary position for extended periods of time.
• Must have a reliable home work area suitable for remote work.
• Must be local to Rancho Cordova or surrounding areas for company equipment pickup.

Preferred Qualification

• Project Management Professional (PMP) certification preferred, but not required.

Microsoft Project Experience

Microsoft Project experience is a key requirement for this position.

Qualified candidates should have hands-on experience with Microsoft Project (MS Project), Project Standard, or Project Professional . Experience may include:

• Creating and maintaining project schedules
• Developing project plans
• Managing project timelines and milestones
• Tracking tasks and project progress
• Managing resources
• Creating and updating Gantt charts
• Managing project calendars
• Tracking dependencies and deadlines
• Preparing project status information and reports

Please note: Microsoft Project is different from Microsoft Planner, Project Server, and Dynamics 365 Project Operations.

Work Environment

This position is currently remote . Employees must have an adequate home workspace and be able to work effectively in a professional remote environment.

The role involves frequent computer use and may require remaining stationary for extended periods. If a suitable remote work environment is not available, the employee may be required to work onsite at the Rancho Cordova facility.
