Job Title: Clinical Research Coordinator Job Description
This role provides critical administrative and clinical support for the collection of research data and the coordination of clinical studies. You work under the close direction and supervision of the principal investigator and/or study coordinator, helping ensure that all study activities are conducted accurately, efficiently, and in compliance with established protocols and regulatory requirements.
Responsibilities- Schedule and call study participants to arrange appointments, and follow up with reminders or other requirements related to their visits.
- Prepare, distribute, and process study questionnaires, ensuring that participants receive the correct materials and that completed forms are handled promptly and accurately.
- Perform clerical duties related to regulatory documentation, including preparing, organizing, and maintaining all forms and documents such as consent forms, master subject logs, and relevant correspondence.
- Assist with screening and recruiting study participants, including obtaining informed consent in accordance with protocol and ethical guidelines.
- Review medical records and conduct telephone or in-person interviews to gather clinical and demographic data needed for the study.
- Administer standard study questionnaires and tests, score measurements and questionnaires, and code data for computer entry while maintaining a high level of accuracy.
- Perform quantitative review of forms, tests, and other measurements to ensure completeness, consistency, and accuracy of collected data.
- Extract data from source documents as directed and complete case report forms in accordance with study protocols.
- After appropriate training and certification, perform basic patient measurements and tests such as obtaining vital signs, phlebotomy, and EKG, following protocol requirements.
- Collect, prepare, process, and ship study specimens and samples accurately under well-defined laboratory and shipping requirements.
- Order, track, and maintain study equipment and supplies to support smooth and uninterrupted study operations.
- Process study compensation payments and prepare thank-you letters for participants upon completion of trial activities.
- Assist with post-study activities as needed, including organizing records, closing out documentation, and supporting data reconciliation.
- As part of daily tasks, assemble study kits, collect consent forms from clinic settings, perform follow-up data entry, and scan documents into electronic systems.
- Conduct chart reviews and data abstraction from electronic medical records, including EPIC, to support oncology and other clinical research projects.
- Drive to study-related locations when applicable, adhering to required driving standards and safety guidelines.
- Two-year college degree and at least one year of relevant clinical research or healthcare-related experience, or an equivalent combination of education and experience.
- General knowledge of medical terminology to accurately interpret clinical documentation and communicate with healthcare professionals.
- Experience with clinical research activities, including chart review, data collection, and data entry.
- Ability to administer standard study questionnaires and tests, score measurements, and code data for computer entry with strong attention to detail.
- Capability to perform basic patient measurements and tests such as vital signs, phlebotomy, and EKG after obtaining appropriate training and certification.
- Experience working with electronic medical records, with EPIC strongly preferred.
- Valid California non-commercial Class C Driver's License, if driving for study-related activities is applicable.
- Ability to frequently stand, walk, twist, bend, stoop, squat, and use fine light/fine grasping during routine tasks.
- Ability to occasionally sit, reach above shoulders, perform desk-based computer tasks, use a telephone, write by hand, and lift, carry, push, and pull objects up to 40 pounds.
- Ability to rarely kneel, crawl, climb ladders, grasp forcefully, sort and file paperwork or parts, and lift, carry, push, and pull objects weighing 40 pounds or more.
- Ability to drive during the day or night, if required for study operations.
- Strong organizational skills to maintain regulatory documents, consent forms, subject logs, and study correspondence.
- High level of accuracy and thoroughness in quantitative review of forms, tests, and other measurements.
- Progress toward or possession of relevant certifications to perform basic patient measurements and tests, such as phlebotomy and EKG.
- Clinical research assistant experience, particularly in oncology studies, is highly beneficial.
- Prior experience assembling study kits, managing consent documentation, and performing follow-up data entry and document scanning.
- Familiarity with regulatory requirements and documentation processes in clinical research environments.
- Strong communication skills for interacting with study participants, clinic staff, and research team members.
- Ability to work effectively under close supervision while maintaining initiative and reliability in completing assigned tasks.
This position operates in a hybrid work environment based in Palo Alto, with an expectation of being onsite 3–4 days per week at clinical and research facilities located at and around 780 and the surrounding area. You work closely with principal investigators, study coordinators, clinic staff, and participants in both office and clinical settings. The role involves regular use of computers for data entry and electronic medical record review, including EPIC, as well as handling paper documents for consent forms, questionnaires, and regulatory files. You may perform basic clinical tasks such as vital signs, phlebotomy, and EKG after appropriate training and certification, and you handle biological specimens following well-defined protocols for preparation, processing, and shipping. The physical environment requires frequent standing, walking, bending, and fine manual tasks, with occasional lifting of objects up to 40 pounds and rare handling of heavier items. Driving during the day or night may be required for study-related activities. Pay and BenefitsThe pay range for this position is $30.00 - $31.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
