Disbursements SpecialistThe primary mandate for the Disbursements Specialist is to ensure all consignments are paid on time and that appropriate remittance process and systems are adhered to.ResponsibilitiesAudit and approve the sale of vehicles, for all US Branches, including Title Centers, based on their legal contract terms to meet settlement SLAs to avoid penalties dailyMonitor and communicate issues with open expenses, at Branch level, to ensure timely closure and comply with SLAsReconcile and/or generate expenses and payable vouchers for vendor invoicing, including: IAA Transport, DMV, and external vendorsAudit, balance, and prepare remittances to ensure accuracy and timely payment to customers, in excess of 20 million dollars, dailyPrepare aging detail to invoice providers upon requestOrganize and collate manual remittances and invoices to mail to providers, dailyPerform support functions and provide technical assistance for all Branches within the organization through ServiceNow Self-Help Catalog, by analyzing and troubleshooting payable and systematic problems, while working with multiple departments to implement a resolutionCommunicate and assist customers inside and outside the organization through: Phone, Email, and ChatAssist: Accounting and Tax Departments with internal and external auditor requests, including the IRS, for mandatory state and federal audits, including willingness to explain data and findings to auditorsBuyer Services with same day broker requests and/or refundsController with special expense and check projects to resolve all open and outstanding issues, at Branch levelFinance with reviewing and processing reoccurring compliance rebatesLegal with pulling detail for Provider and Buyer investigative requestsTreasury with research, follow-up, processing and reissuing of payments requestsWork with: Sales, Account Managers, Area Managers, RVPs, and the Executive Team on special research projects and payment requestsIdentify and communicate timely settlement and system issues with co-workers, management, and BT servicesDocument and maintain up-to-date processes and procedures for department responsibilitiesOther responsibilities may include system testing or special projects, research, and/or reporting as requested by managementCompetenciesGood analytical and problem-solving skillsCustomer service orientatedExcellent written and verbal communication skillsExcellent time management skills to be able to meet strict deadlinesAdvanced Excel skills (Macros, Pivot Tables, and V-LookupQualifications2-4 years of experience working in an office environment.Proficiency with Microsoft Excel.Fluent verbal and written communication skills in English.Organized, detailed-oriented and able to multi-task in a fast-paced environment.Experience with Microsoft Dynamics GP, Five9, and ServiceNow is preferred.Experience working with ERP systems, Oracle is a plus.Job InfoJob Identification 11302Posting Date 08/26/2026, 07:53 PMLocations 2 Westbrook Corporate Ctr, Westchester, IL, 60154, US (On-site)Degree Level No Formal EducationJob Schedule Full timeMinimum Salary $21.00Maximum Salary $26.00
