Legal Secretary I (1458), Office of Equity and Employee Relations

Legal Secretary I Job Class: 1458 Legal Secretary I Salary Range: $93,974 - $113,880/Annually Appointment Type: Permanent Exempt Calendar: Full Time / Full Year Essential Duties Support complaint processes overseen by the Office of Equity, including the Williams, ADA, 504, Title IX, and Uniform Complaint processes. Support both the Office of Equity and Employee Relations teams in maintaining organized document and case management systems, including Google Drive, tracking systems, and iManage. Support the Office of Equity in completing compliance inspections, including annual Williams Inspections, Federal Program Monitoring, Civil Rights Review, and others as assigned. Support both the Office of Equity and Employee Relations teams with case management by: Calendaring Assisting with initial intake communications by phone, email, and in person Referring matters when outside the scope of the Office of Equity and/or Employee Relations Managing case files, including maintaining up-to-date and accurate documentation Supporting teammates to ensure compliance deadlines are met Reviewing and routing reports and communications from child protective services to appropriate staff Submitting reports and documents as necessary to District insurers. Supporting the updates and maintenance of public and intranet websites as needed Monitoring complaints referred by SFUSD Link Line, and routing to appropriate staff Applying established office procedures, District Policies, Board Policies and confidentiality requirements in maintaining case records and supporting complaint processes Performing related duties and responsibilities, as assigned Desired Qualifications Excellent verbal and written communication skills and a high level of attention to detail. Ability to manage multiple cases and competing priorities simultaneously. Strong interpersonal skills and the ability to build effective working relationships. Ability to demonstrate and practice cultural humility toward individuals of other cultures and a lifelong learning attitude. Ability to work effectively in difficult situations that may involve confidential or sensitive matters. Ability to work independently and exercise good judgment. Knowledge of San Francisco’s public schools/urban public schools. Experience conducting investigatory intake interviews involving difficult and uncomfortable subjects. Experience processing claims related to employee misconduct and/or discipline. Strong computer skills including proficiency in G Suite, Microsoft Office Suite, and Adobe. Strong analytic and systems thinking. Minimum Qualifications Two (2) years of verifiable experience as a legal secretary transcribing dictation and typing legal documents including petitions, motions, briefs, complaints and other legal forms; and the ability to type 55 net WPM. NOTE: The ability to transcribe legal matters accurately from a transcribing machine with no more than a 2% error rate may be required by some departments as a special condition. Substitution: A certificate of completion in legal secretarial skills from a recognized college, university, or training program, which involves learning legal terminology and legal formats and forms, may substitute for six (6) months of the required legal secretarial experience. Proof of satisfactory completion must be submitted at the time of filing.
