The Loan Operations Supervisor is responsible for the day-to-day supervision and coordination of Loan Operations activities, ensuring timely, professional, and accurate service while meeting established service level agreements (SLAs). This role provides leadership, coaching, workflow management, and operational support to the Loan Operations team, while ensuring all activities comply with applicable laws, regulations, policies, and guidelines. This position serves as the primary operational support and backup to the Loan Operations Manager, overseeing daily departmental activities while supporting the Manager's strategic, compliance, staffing, and operational objectives.

The Loan Operations Supervisor is responsible for the day-to-day supervision and coordination of Loan Operations activities, ensuring timely, professional, and accurate service while meeting established service level agreements (SLAs). This role provides leadership, coaching, workflow management, and operational support to the Loan Operations team, while ensuring all activities comply with applicable laws, regulations, policies, and guidelines. This position serves as the primary operational support and backup to the Loan Operations Manager, overseeing daily departmental activities while supporting the Manager's strategic, compliance, staffing, and operational objectives.
Key Responsibilities:
- Provide leadership and coaching to team members by establishing clear goals tied to the organization's vision and mission, championing culture, and supporting talent recruitment, onboarding, and development.
- Conduct annual performance reviews, ongoing one-on-one coaching sessions, and manage employee performance issues in a timely manner in accordance with employment policies.
- Oversee the timely and accurate completion of loan servicing, booking, documentation, reporting, and quality assurance reviews.
- Monitor departmental SLAs, review quality and exception trends, identify root causes, and coordinate corrective actions with the Loan Operations Manager.
- Ensure ongoing compliance with Federal and State regulatory guidelines, achieving satisfactory audits and compliance reviews, and supporting the timely resolution of findings.
- Implement departmental process improvements and cost-saving initiatives, and recommend service updates or restructuring as needed.
- Monitor system maintenance, provide production support, and assist with system upgrades and the rollout of new products and services.
- Accurately process complex transaction requests within established SLAs, including creating and reviewing standard and complex loan documents for new commercial, agriculture, consumer, and lease transactions, as well as modifications, refinances, extensions, renewals, changes in terms, and subordinations.
- Perform critical loan and lease file maintenance and review complex operational transactions to ensure compliance with Bank policies, procedures, and regulatory requirements.
- Partner with applicable departments to support implementation and training activities related to loan operations system changes and monitor the ongoing performance of new products and services.
- Ensure delivery of high-quality service by team members to both internal and external customers.
Required Qualifications:
- Bachelor's Degree or equivalent related and progressive experience.
- 4–6 years of experience in loan operations, including at least two years of supervisory experience.
- Thorough and specific knowledge of bank and loan operations, policies, and procedures.
- Knowledge of federal, state, and local regulations affecting the banking and financial services industries.
- Strong, well-developed interpersonal skills with the ability to communicate policies, procedures, and objectives effectively across the organization.
- Loan Operations or Lending Support experience at a regional or community bank
- Ability to deal effectively and tactfully with personnel from all departments.
- Strong analytical thinking skills with the ability to develop processes, procedures, and solutions.
- Ability to lift up to 15 pounds and perform general office activities, including use of a computer, phone, and other office equipment.
- 6–8 years of experience in loan operations, with at least two years of supervisory experience.
- Hands-on experience with FISERV, LaserPro, and Abrigo.
- Demonstrated experience leading process improvement initiatives and system implementations within a banking environment.
