Proposal Coordinator

Fully Remote - Contract base position (send CV in english to View email address on click.appcast.io) The Proposal Coordinator is responsible for coordinating and producing high‑quality Statements of Qualifications (SOQs), proposals, and related proposal documents in response to public agency and private‑sector solicitations. This position works closely with business development, marketing, project managers, engineers, and technical staff to ensure proposals are compliant, visually polished, submitted on time, and accurately represent the firm’s qualifications. The ideal candidate is organized, proactive, enjoys managing deadlines, and has strong writing and document design skills. Essential Responsibilities Proposal Management Review RFQs, RFPs, IFBs, and other solicitation documents. Develop proposal schedules and internal deadlines. Lead proposal kickoff meetings. Coordinate proposal efforts from start to submission. Track deliverables and ensure milestones are met. Maintain proposal compliance throughout the process. Proposal Development Draft and assemble Statements of Qualifications (SOQs), proposals, and supporting documentation. Edit technical content for grammar, clarity, consistency, and style. Tailor proposal content to meet client requirements. Verify compliance with solicitation requirements. Format documents for professional presentation. Graphic Design & Document Production Produce polished proposal packages using Adobe InDesign. Maintain branding and formatting standards. Create graphics, tables, organization charts, covers, dividers, and other proposal elements. Prepare print‑ready and electronic submission packages. Assemble appendices and required forms. Coordinate printing, binding, packaging, and shipment of physical proposal submissions when required. Coordination Work directly with engineers, project managers, executives, and business development staff. Collect technical information, forms, certifications, licenses, and compliance documentation. Follow up with internal contributors to ensure deadlines are met. Proposal Database Management Maintain proposal files and marketing libraries. Organize proposal templates and standard content. Maintain proposal tracking systems and submission records. Conduct follow‑up on submitted proposals to determine award status. Required Qualifications 2+ years of experience coordinating proposals, marketing, document production, or technical writing. Exceptional attention to detail. Strong written and verbal communication skills. Excellent organizational and time‑management abilities. Ability to manage multiple deadlines simultaneously. Ability to work independently in a remote environment. Professional editing and proofreading skills. Strong document formatting experience. Preferred Qualifications College degree in Marketing, Communications, English, Graphic Design, Journalism, Business, Construction Management, or a related field. Experience in the Architecture, Engineering, and Construction (AEC) industry. Experience preparing proposals for public agencies. Familiarity with qualifications‑based procurement (RFQs, SOQs, RFPs).
