The Accountant Payroll Specialist is responsible for administering and managing employee benefit programs internally while onboarding clients to approved third-party payroll service providers. You Must have a background in accounting and have experience with leading payroll services.

Experience with Gusto payroll systems a major plus.

This role acts as the operational bridge between clients, payroll vendors, and internal teams, ensuring accurate setup, compliance, and ongoing coordination.

This an Accounting role that requires strong Payroll Experience and attention to detail, confident client communication, and the ability to manage multiple onboarding workflows simultaneously.

The successful candidate preferred to hold an active Washington State Life & Disability Insurance Producer License (or be willing to obtain licensure within a defined onboarding period). This role may include comparing, recommending, and advising on employee benefit plans , including health, dental, vision, life, and disability insurance, in coordination with client goals and compliance requirements.

Key Responsibilities

Benefits Administration

• Administer and manage employee benefit programs, including health, dental, vision, retirement, and ancillary benefits.
• Handle benefit enrollments, changes, terminations, and annual open enrollment processes.
• Serve as the primary point of contact for benefits-related inquiries.
• Ensure benefit elections and deductions are accurately reflected and coordinated with payroll vendors.
• Maintain benefit records and documentation in compliance with regulatory requirements.

Third-Party Payroll Client Onboarding

• Gusto Payroll experience is required
• Lead client onboarding for approved third-party payroll platforms.
• Collect, review, and validate payroll setup information and employee data.
• Coordinate payroll configuration including pay schedules, tax jurisdictions, and benefit deductions within vendor systems.
• Act as the liaison between clients and payroll providers to ensure accurate and timely implementation.
• Guide clients through payroll onboarding steps, timelines, and ongoing responsibilities.

Client Coordination & Support

• Provide clear, professional communication to clients throughout onboarding and ongoing service.
• Monitor onboarding progress and proactively address issues or delays.
• Maintain organized, confidential client records across payroll and benefits systems.
• Support clients with payroll and benefits questions, escalating vendor issues when necessary.

Compliance & Process Management

• Ensure payroll and benefits coordination aligns with federal, state, and local employment regulations.
• Stay current on payroll compliance requirements applicable to third-party platforms.
• Document onboarding workflows and contribute to process improvement initiatives.

Qualifications & Skills

• Experience in benefits administration and payroll coordination required.
• Familiarity working with third-party payroll providers (e.g., ADP, Gusto, Paychex, Rippling, etc.) preferred.
• Strong understanding of employee onboarding documentation and payroll setup requirements.
• Excellent organizational skills with the ability to manage multiple client onboardings.
• Professional, client-facing communication skills.
• Proficiency in payroll platforms, benefits systems, and Microsoft Office (Outlook, Excel, Word).
• High level of discretion and attention to confidentiality.
