Event Coordinator

The Event Coordinator is a detail-oriented wizard responsible for planning, organizing, and executing all Musketeer83 events, from small internal workshops to large client conferences and community activations in Austin. You will manage all logistical elements, ensuring every event runs flawlessly and achieves its strategic goals. Key Responsibilities: End-to-End Planning: Manage the full event lifecycle, including concept development, venue sourcing, vendor negotiation, and timeline creation. Logistics Management: Coordinate all event logistics, including catering, A/V, transportation, set-up, breakdown, and securing necessary permits. Budget Oversight: Develop and manage event budgets, track expenses meticulously, and ensure all costs remain within allocated limits. Vendor Relations: Act as the primary point of contact for all vendors and suppliers, negotiating contracts and managing delivery of services. On-Site Execution: Oversee the event day operations, managing event staff/volunteers, troubleshooting issues in real-time, and ensuring a positive experience for all attendees. Promotion & Reporting: Collaborate with the Marketing team on event promotion and conduct post-event evaluations, gathering feedback and compiling comprehensive reports on success metrics. Qualifications: Proven experience in event planning, coordination, or a similar role. Exceptional organizational skills and a meticulous attention to detail. Strong ability to multitask, prioritize, and meet tight deadlines under pressure. Excellent communication, negotiation, and problem-solving skills.
