Job Title : Office Assistant

Status : Non-exempt (Hourly)

Pay: $22-25/hr., plus monthly bonus program is paid when company-wide monthly sales goal is reached (full-time).

Schedule : Monday – Friday 8:00am to 4:30pm

PRIMARY PURPOSE :

The Office Assistant provides administrative support to ensure the efficient day-to-day operation of the office. This role is responsible for processing invoices, managing work tickets, maintaining records, answering phones, greeting visitors, and performing general clerical duties. The ideal candidate is highly organized, detail-oriented, and able to manage multiple tasks in a fast-paced environment.

ESSENTIAL JOB FUNCTIONS:

  • Process and enter daily customer invoices accurately and timely.
  • Review, organize, and maintain work tickets and related documentation.
  • Scan, file, and electronically store packing slips and other business records.
  • Maintain accurate filing systems, both paper and electronic.
  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Greet and assist visitors, customers, vendors, and applicants.
  • Distribute messages and provide general office support.
  • Assist with data entry and recordkeeping.
  • Monitor office supplies and notify management when replenishment is needed.
  • Perform other necessary duties and tasks as requested.

REQUIRED QUALIFICATIONS:

· High school diploma or equivalent.

· Previous administrative, clerical, receptionist, or office support experience preferred.

· Proficiency with Microsoft Office, including Outlook, Word, and Excel.

· Strong organizational skills and attention to detail.

· Excellent verbal and written communication skills.

· Ability to prioritize tasks and manage time effectively.

· Ability to maintain confidentiality of company information.
