Position Summary

The Office Manager is accountable for the overall performance of the practice, including operational execution, financial results, team leadership, and patient experience. This role serves the full practice team, providers, patients, and regional leadership by ensuring the practice runs efficiently, consistently hits production and collection targets, and maintains a healthy, high-performing culture. The core purpose is to lead with accountability and ownership, drive performance through the team, and serve as the operational anchor that connects clinical care with sustainable business results.

Core Responsibilities

Lead: Full ownership of practice operations, team performance, financial outcomes, and cross-functional alignment with providers and regional leadership.

Operations & Financial Performance

• Oversee all daily practice operations including patient flow, schedule execution, and team coordination across front office and clinical functions.
• Drive production and collections performance by tracking KPIs, identifying gaps, and taking direct action to course-correct before they impact results.
• Ensure provider and team schedules are optimized for productivity, with minimal open time, low no-show rates, and consistent schedule utilization.
• Ensure financial processes, including case acceptance execution, payment collection, insurance coordination, and ledger accuracy, are consistently followed.
• Monitor labor utilization and maintain staffing levels that are appropriate to patient volume and practice budget targets.

Team Leadership & Development

• Hire, onboard, train, and develop team members across front office and administrative roles.
• Coach team members to consistently meet performance expectations and hold accountability with clarity, fairness, and follow-through.
• Foster a positive, results-driven team culture that supports engagement, retention, and a high standard of patient experience.
• Address patient concerns, complaints, and service recovery situations with professionalism and urgency.

Strategic Alignment & Practice Partnership

• Partner with lead providers and regional leadership to align practice operations with organizational goals, growth initiatives, and culture priorities.

Supervisory Responsibility

The Office Manager has direct supervisory responsibility for all staff members at your clinic. The Office Manager also coordinates with clinical leads on team performance matters. This role supports hiring, performance management, corrective action, and separation decisions in partnership with Regional Managers, Regional Directors, VP of Operations, and HR.

Education & Qualifications

Required Experience

• 2-3 years of dental or healthcare office management experience with direct accountability for team performance and financial outcomes.
• Demonstrated ability to manage KPIs across scheduling, collections, and case acceptance in a high-volume, fast-paced environment.

Required Education

• High school diploma or equivalent; associate degree or higher preferred.

Preferred:

• Experience in a multi-provider, group dental practice, or DSO setting.
• Familiarity with Dentrix or other dental practice management software and HR/payroll platforms.
• Strong track record of team development, culture-building, and sustainable performance improvement.
• Excellent communication, organizational, and conflict resolution capabilities.
