Administrative Assistant & Receptionist
Full-Time | Brooklyn, NY
A reputable luxury home builder in NYC, with offices located in Brooklyn, is seeking a reliable, detail-oriented Administrative Assistant & Receptionist to support daily operations and serve as the welcoming face of the office. This is a full-time, front-facing position centered on administrative and reception duties, with some light bookkeeping mixed in. Training is provided on the company's billing and accounting software.
Key Responsibilities
- Serve as the front desk for the office greet visitors, answer and route incoming calls, and manage mail and deliveries.
- Perform administrative and clerical tasks that support daily operations.
- Manage and maintain spreadsheets and data entry in Microsoft Excel.
- Organize, file, and maintain company documents and records.
- Support office staff with daily operational duties.
- Assist with light bookkeeping tasks, such as invoicing and basic data entry, with training provided on the company's billing and accounting software (TimberScan, Sage 300).
Qualifications
- Previous experience with administrative or front-desk tasks preferred.
- Proficiency in Microsoft Excel is mandatory.
- Comfortable serving as the office's reception presence with a professional, welcoming demeanor.
- Exposure to bookkeeping or invoicing is a plus, but not required.
- Strong organizational and time-management skills.
- Ability to learn new software quickly.
- Reliable, adaptable, and able to work independently.
Hours
Full-time, based out of the Brooklyn office.
