Together, we make a difference in patients' lives.Job Title: Indirect Materials CoordinatorThe Indirect Materials Coordinator is responsible for the receipt, inspection, documentation, temporary storage, inventory management, notification, and distribution of indirect (non-BOM) materials; including consumables, chemicals, facility support items, courier deliveries, parcels, and spot-buy purchases. This role serves as the primary Receiving and Mailroom contact for all inbound indirect goods, ensuring materials are accurately received, properly stored, and delivered to internal customers in a controlled and timely manner.The position requires strong organizational, communication, customer service, and problem-solving skills to support operational continuity, coordinate receiving and logistics activities, maintain accurate inventory records, and drive continuous improvement initiatives. The role acts as a critical liaison between suppliers, carriers, procurement, and site departments while maintaining a safe, organized, and efficient receiving operation.Regular schedule for this position is Monday through Friday 8:00am – 4:30pm. Subject to change based on business needs.Essential Duties and ResponsibilitiesInclude the following. Other duties may be assigned.Material Receipt & Mailroom OperationsReceive, inspect, verify, and process inbound deliveries of indirect materials, parcel shipments, courier packages, freight, and spot-buy purchasesCoordinate the receipt, temporary storage, and distribution of indirect materials across the siteVerify shipments against purchase orders, packing slips, and receiving documentation to ensure accuracy and completenessRecord and process Goods Receipts within applicable procurement, inventory, and ERP SystemsNotify requestors of material arrivals and coordinate timely pickup or delivery to the appropriate departmentMaintain organized staging, receiving, and storage areas to ensure visibility and accountability of incoming materialsAssist in investigating receipt discrepancies, damaged shipments, missing materials, and incorrect deliveriesServe as the central receiving point for inbound mail, packages, and indirect material deliveriesCoordinate with carriers, suppliers, and internal stakeholders to resolve delivery issues and receiving concernsInventory ManagementMaintain accurate inventory records for indirect materialsAssist with regular inventory reconciliationsMonitor aging inventory and support disposition of obsolete, excess, or unclaimed materialsIdentify continuous improvement opportunities related to inventory management and material flowLogistics CoordinationMonitor deliveries, shipment status, and lead times to ensure materials arrive according to operational requirementsAssist in coordinating delivery appointments and unloading activities when requiredSupport expedited and critical material deliveries to meet operational prioritiesCoordinate internal movement and distribution of materials throughout the facilitySupplier & Stakeholder ManagementServe as the primary point of contact for indirect material, receiving, and mailroom-related inquiries and escalationsMaintain effective communication with procurement, suppliers, carriers, and site stakeholdersSafety & EnvironmentalSupport and promote a strong safety culture throughout all material handling, receiving, and logistics activitiesComply with all company EHS policies and proceduresReport hazards, incidents, near misses, and safety concerns promptlyParticipate in EHS training and maintain required certificationsEnsure proper handling, storage, and transportation of chemicals, hazardous materials, and regulated productsOperate material handling equipment safely and in accordance with company requirementsLeadership & Budget ResponsibilitiesNone.Safety & Environmental ResponsibilitiesEvery individual is personally responsible for the safety and environmental aspects of their activities in the workplace.
