Program Operations Analyst - Student Systems Transformation Project (Multiple Openings)

Job Description Academic Strategy and Affairs has an outstanding opportunity for four Program Operations Analyst's to join their team. About this Opportunity Reporting to the Director of Academic Strategy & Affairs Information Services (ASA-IS), and as a member of the Student Systems Transformation (SST) project team, the Program Operations Analyst will facilitate the discovery of business processes that would need to be modified prior to implementing a new SIS; gather requirements to ensure that the future SIS is driven by user and business needs; and identify gaps where leading vendor solutions do not include functionality that meet UW requirements. The work should be flexible and scalable, allowing for the incorporation of additional decision points and data inputs in future cycles. This position will work in close partnership with Enrollment Management, tri-campus academic and administrative units, and UWIT to meet the university’s diverse, rapidly changing needs. A high degree of tact, customer service, diplomacy and confidentiality is required. This position supports business processes and systems that are essential to the success of enhancing the student experience, supporting faculty excellence and innovation in teaching and learning. Position will be hybrid on-site/remote telework, and eligible for up to 100% remote telework. Key Responsibilities Business Analysis (70%) Work within cross-functional business/academic and technical teams to understand, identify and document business needs, assess process and system alternatives and options, and develop business cases and solution proposals that support decision making among process/project owners. Define stakeholders, objectives, scope, risks, and success criteria. Identify potential roadblocks, unmet needs, and areas for potential improvement. Facilitate end-user working groups to develop shared understanding of needs, develop consensus related to priorities and requirements, and develop inclusive solutions that balance trade-offs and benefits among process partners. Document functional requirements, user interaction requirements, non-functional requirements, system capabilities, and specifications. Organize, prioritize, validate, and manage requirements. Create frameworks for decision-making and for assessing the value of different solutions. Demonstrate an understanding of how to connect various tools with a larger overall systems environment and encourage the successful adoption of them by the end users. May also participate in developing infrastructure impact statements, feasibility studies, work breakdown structures, risk management plans, communications and change management plans, testing plans, technical specifications, decision logs, and providing user training. Communication and Project Coordination (30%) Develop and update project plans and timelines to track progress. Work with project partners and stakeholders to ensure goals are met on time. Develop reports and other documents relevant to each project. Other administrative duties as required. Bachelor's degree 2 years' professional experience in business systems analysis Experience gathering requirements with end users, translating these requirements into specifications, and implementing them in the chosen solution. Experience managing or coordinating projects or programs or other equivalent experience from which comparable knowledge and skills have been acquired. Experience managing and communicating with internal and external stakeholders with professionalism and diplomacy. Implementing student data systems at large educational institutions. Supporting ongoing development of an implemented product. Familiarity with the basic internal workings of the University of Washington or a similar large, public research university. Experience with project management and team tracking technology, including Microsoft Office tools SharePoint, OneDrive, Teams, and workflow mapping tools. About the Team Led by Academic Strategy and Affairs (ASA), the Student Systems Transformation (SST) project is a multi-year effort to replace student information systems (SIS) and align processes across the institution. The goals of SST include: managing risk from aging technology, improving stakeholder experience, standardizing processes and simplifying system landscape, improving analytics and decision-making, and enabling innovation.
