Investment Banking - Executive Assistant New York Office, 717 Fifth Avenue, New York, New York, United States of America Job Description Posted Friday, September 4, 2026 at 4:00 AM Executive Assistant Summary Responsible for overseeing office day-to-day operations for two Executive Managing Directors (EMD) in charge of various groups. Responsibilities Plans, coordinates and ensures the EMDs schedules are followed. Provides “gatekeeper" and "gateway" role Answer phone calls, including coverage for main lines, other executives and CEO extensions Prepare materials, book conference rooms and coordinate AV for meetings Work closely and effectively with EMDs to keep well informed of upcoming commitments and responsibilities, following up appropriately Researches, prioritizes, and follows up on incoming issues and concerns addressed to the EMDs. Determines appropriate course of action, referral, or response Reading, sorting, and responding to correspondence Follows up with clients and contacts and supports the cultivation of ongoing relationships Coordinate all travel arrangements for EMDs per company policy using approved providers Collect and submit all expenses for reimbursement/expense reports in a timely manner and according to policy. Assist EMDs with approvals of expenses for direct reports Safeguard confidential and/or proprietary information Assist other executives and perform office duties as needed with direction from COO and office manager Assist with corporate events Work on special projects as needed Some personal assistance required Qualifications Knowledge: Word, Excel, Outlook, PowerPoint, Visio Skills: Organized, detailed oriented, self-motivated, strong time management skills and ability to multi-task, strong communication skills Experience: College preferred, 3+ years office and executive administrative work #J-18808-Ljbffr Island Capital Group
