Office Operations & Administrative Manager
Position Summary
We are seeking an experienced Office Operations & Administrative Manager to oversee day-to-day office functions, support leadership initiatives, and ensure a productive, professional, and collaborative workplace environment. This role combines office management, team leadership, administrative coordination, and executive support responsibilities within a fast-paced professional services setting.
Key Responsibilities
Office Operations & Team Leadership
- Manage daily office operations to ensure efficiency, professionalism, and exceptional service delivery
- Lead and supervise administrative support staff, providing coaching, performance management, and professional development opportunities
- Partner with Human Resources on recruitment, onboarding, employee relations matters, and workplace compliance initiatives
- Maintain confidentiality when handling sensitive personnel, client, and organizational information
Administrative Management
- Coordinate administrative resources to ensure timely support for leadership and professional staff
- Allocate workloads and assignments based on business needs, skill sets, and priorities
- Manage staffing coverage and workflow adjustments during absences, peak periods, and special projects
- Facilitate regular team meetings, training initiatives, and communication updates
- Develop and maintain processes that improve operational efficiency and service quality
Cross-Functional Collaboration
- Serve as a liaison with facilities and property management teams regarding office maintenance, improvements, relocations, and workspace planning
- Coordinate with technology teams to support local office technology needs and project implementation
- Partner with marketing and business development teams on client events, presentations, seminars, and promotional materials
- Assist with professional development and continuing education tracking to ensure compliance with organizational requirements
Employee Engagement & Workplace Culture
- Plan and coordinate employee engagement activities and team-building initiatives
- Promote participation in company-sponsored programs and events
- Foster a positive, inclusive, and collaborative workplace culture
Executive & Administrative Support
- Provide high-level administrative support to senior professionals and leadership team members
- Prepare, edit, and proofread correspondence, reports, presentations, and other business documents
- Coordinate calendars, meetings, travel arrangements, expense reporting, and scheduling
- Manage document preparation, filing, and records administration
- Support client onboarding processes and administrative compliance requirements
- Assist with business development initiatives through preparation of presentations, proposals, and marketing materials
- Provide backup administrative support as needed to ensure seamless office operations
Qualifications
- 5+ years of office management, operations management, or administrative leadership experience within a professional services environment
- 5+ years of advanced executive or administrative support experience
- Strong leadership, organizational, and project management skills
- Demonstrated ability to prioritize, delegate, and manage multiple responsibilities simultaneously
- Excellent verbal and written communication skills
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems
- Exceptional business writing, editing, and proofreading abilities
- High degree of professionalism, discretion, and sound judgment
- Strong interpersonal skills with the ability to build relationships across diverse teams
