Stansell is seeking a talented Bid Coordinator to join our team in Tampa, FL!

Stansell is a rapidly growing, WBE certified, general contractor specializing in commercial construction services across the Southeast United States. We focus on serving clients in the commercial market with emphasis on the following project types: restaurant dining and quick service food. The ideal candidate for this role is a career-minded individual with a customer service focus, has high energy, and is detail oriented. A proven track record of working well with subcontractors is a must.

Responsibilities

• Set up new projects within Procore and other company software platforms. 
• Prepare and distribute Invitations to Bid (ITBs) to subcontractors and vendors. 
• Build, maintain, and continuously expand subcontractor and vendor databases. 
• Contact subcontractors by phone and email to maximize bid coverage across all project scopes. 
• Receive, organize, and accurately file subcontractor proposals and supporting documentation. 
• Track bid activity and maintain accurate bid logs throughout the bidding process. 
• Coordinate with estimators to identify coverage gaps and actively recruit additional subcontractors to submit proposals. 
• Follow up persistently with subcontractors to ensure timely bid submissions. 
• Assist in organizing project documentation and maintaining accurate electronic filing systems. 
• Learn and understand construction terminology, trade scopes, CSI divisions, and estimating processes. 
• Maintain accurate records within Procore and other department software. 
• Support the estimating team with administrative tasks before, during, and after bid submissions. 
• Adapt to changing responsibilities, processes, and departmental initiatives as the estimating team continues to evolve. 
• Perform other duties as assigned. 

Requirements and Skills

• Qualifications & Requirements: 
• High school diploma or equivalent required; associate's degree preferred. 
• Minimum of 2 years of administrative, coordination, customer service, or construction support experience preferred. 
• Strong proficiency with Microsoft Office Suite, including Outlook, Excel, and Word. 
• Ability to quickly learn new software and technology platforms. 
• Excellent verbal and written communication skills. 
• Exceptional organizational and time management skills. 
• Strong attention to detail and commitment to accuracy. 
• Ability to manage multiple priorities while meeting critical deadlines. 
• Self-motivated with the ability to work independently and collaboratively within a team. 
• Professional phone etiquette and confidence communicating with vendors, subcontractors, and internal stakeholders. 

Preferred Qualifications 

• Experience in commercial construction, estimating, project coordination, or subcontractor management. 
• Experience using Procore or similar construction management software. 
• Familiarity with construction terminology, CSI MasterFormat divisions, and subcontractor trade scopes.
