Executive Assistant - AMR

Job Description As an Executive Assistant – AMR, you will help ensure day‑to‑day operations run smoothly by managing calendars, coordinating key activities, preparing materials, and handling a wide range of administrative responsibilities. The ideal candidate is organized, detail‑oriented, and proactive, and can anticipate needs, execute with accuracy, and thrive in a fast‑paced, high‑performance environment. You will report to the VP GM, AMR, and will work Hybrid at either Kitchener, ON or Milwaukee, WI office. Primary Responsibilities Provide administrative support to the VP/GM, including scheduling, managing calendars, processing correspondence, managing supplies, and handling specifically assigned projects. Schedule domestic and international trips, develop complex itineraries, and make reservations. Prepare all expense reports for the VP/GM. Schedule meetings and conferences, anticipating and preparing materials and agendas as required. Welcome guests by greeting them in person or on the telephone; answer or direct inquiries. Update the correct point person on critical departmental correspondence. Arrange hotel and car service for traveling visitors and employees. Arrange onsite luncheons for meetings. Review, code, and input invoices for processing. Update HR organizational charts and Outlook distribution lists. Update Facilities floor plans and coordinate evacuation rosters and training. Assist with special projects as assigned. The Essentials – You Will Have High School Diploma or GED. Legal authorization to work in Canada or the U.S. (no visa sponsorship). The Preferred – You Might Also Have Minimum of 4 years of related experience. Advanced use of Windows and Microsoft Office (Outlook, Word, Excel, PowerPoint). Experience working in collaborative, team environments. Strong attention to detail and proactive mindset. Ability to prioritize and make independent sound decisions. Demonstrated capability to handle multiple activities simultaneously. Experience collaborating with individuals at multiple levels across the organization and global locations. Additional benefits details available at Compensation For this role, the total target compensation ranges from $64,640.00 to $96,960.00 CAD annually for Canadian candidates and $69,680.00 to $104,520.00 USD annually for U.S. candidates.
