Position Overview

Gandhi Health & Wellness is seeking a professional, energetic, and patient-focused Front Desk Coordinator to serve as the first point of contact for our patients. This role is essential to delivering an exceptional patient experience while ensuring the clinic operates efficiently and appointments run on schedule.

The ideal candidate is organized, detail-oriented, enjoys interacting with people, and thrives in a fast-paced, concierge-style healthcare environment. Flexibility to work at either our Boynton Beach or West Palm Beach location is required.

Key Responsibilities

Patient Experience

  • Welcome patients upon arrival with a warm, professional demeanor.
  • Verify patient demographics, insurance information, and credit card details.
  • Ensure all required registration forms and documentation are complete prior to appointments.
  • Coordinate patient check-in and check-out while providing exceptional customer service.
  • Answer incoming phone calls, text messages, and patient inquiries promptly and professionally.

Scheduling & Administrative Support

  • Schedule new patient consultations, follow-up appointments, and provider visits.
  • Manage provider calendars to optimize scheduling efficiency.
  • Confirm upcoming appointments and assist with rescheduling as needed.
  • Assist with maintaining accurate patient records within the electronic medical record (EMR) system.

Clinical Support

  • Obtain and document basic patient vital signs, including weight and other routine measurements, as directed.
  • Prepare patients for their appointments to help providers remain on schedule.
  • Provide general support to the clinical team to ensure efficient patient flow.

Inventory & Operations

  • Monitor and order nutritional supplements and other front-office supplies as needed.
  • Assist with inventory organization and maintaining adequate stock levels.

Marketing & Social Media

  • Assist with creating short videos and other content for social media platforms.
  • Support the team with patient testimonials, educational content, and clinic promotions while maintaining patient privacy and HIPAA compliance.

Team Support

  • Work collaboratively with providers and staff to deliver a seamless patient experience.
  • Maintain a clean, organized, and welcoming reception area.
  • Perform additional administrative or operational duties as assigned.

Qualifications

  • Previous experience in a medical office, wellness clinic, or customer service role preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask.
  • Comfortable using computers, scheduling software, and electronic medical records (EMR).
  • Ability to work independently while functioning as part of a collaborative team.
  • Professional appearance and a positive, patient-first attitude.

Preferred Skills

  • Experience with medical scheduling and insurance verification.
  • Familiarity with Cerbo EMR or similar practice management software.
  • Interest in health, wellness, nutrition, or longevity medicine.
  • Comfortable appearing in or assisting with social media content.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Ability to assist patients with routine measurements (weight, height, blood pressure, etc.).
  • Ability to lift and carry up to 25 pounds on occasion.
