Responsibilities: Administrative support for 2 R&D Directors • Demonstrate a strong service mindset to support the R&D Director in driving efficiency and effectiveness. • Process purchase orders (POs). • Calendar management, including coordination with internal and external stakeholders. • Independently organize agendas, meetings, and logistical arrangements for on-site engagements. • Coordinate domestic and international travel arrangements. • Prepare and process travel expenses and reimbursements promptly. • Route legal agreements for approval (e.g., CDAs, Statements of Work, Master Service Agreements). • Build and maintain effective working relationships within the Salt Lake City site and across global teams. • Collaborate with administrative assistants across the organization to manage complex scheduling demands. • Create high-quality PowerPoint presentations for R&D updates and meetings. Required Qualifications: • High school diploma required; bachelor's degree strongly preferred. Preferred Knowledge, Skills & Abilities: • Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook); ability to create and edit presentations including animations, charts, and proofreading. • Ability to manage a high-volume workload and complex calendars. • Excellent interpersonal and communication skills. • Collaborative team player with the ability to build positive working relationships at all levels. • Strong sense of urgency, follow-through, and ability to prioritize in a fast-paced environment. • High integrity and discretion in handling confidential information. • Strong judgment in determining priority items, escalating issues, and routing matters appropriately. • Ability to anticipate needs, be resourceful, and effectively utilize available tools and resources. • Exceptional attention to detail, accuracy, and formatting. • Demonstrated ability to assume greater responsibilities as needed with internal and external stakeholders. For most roles, we require a minimum of 4 days of in-office presence per week to maintain our culture of excellence and ensure smooth operations, while also recognizing the importance of flexibility and work-life balance. Remote or field-based positions will have different workplace arrangements which will be indicated in the job posting.
