This role ensures that end-users are proficient and confident in using EMR tools to improve patient care, documentation accuracy, and overall workflow efficiency. The EMR Support and Training Specialist will also support onboarding, system upgrades, and ongoing optimization efforts.
Primary Job Responsibilities:
EMR Training & Education
Develop, maintain, and deliver engaging EMR training programs for clinical and non-clinical staff, including physicians, nurses, and administrative personnel.
Conduct in-person new-hire EMR onboarding, scheduled training courses, refresher sessions, and additional education based on organizational needs.
Provide one-on-one and group training through both virtual and in-person formats.
Develop and maintain role-specific training materials, including manuals, tip sheets, videos, workflows, e-learning modules, and other educational resources.
Conduct 30-, 60-, and 90-day post-onboarding check-ins to assess user proficiency, address training needs, and identify opportunities for continued development.
Assess individual and departmental training needs and tailor educational approaches to different roles, workflows, technical skill levels, and learning styles.
Maintain awareness of available training curricula and resources from supported EMR platforms and oversee a quarterly refresher training program.
Participate in webinar-based and vendor training opportunities to remain current on EMR functionality, workflows, and best practices.
EMR Optimization & Workflow Support
Support EMR optimization initiatives by identifying workflow challenges and translating clinical and operational needs into effective training and workflow solutions.
Collaborate with clinical, administrative, operational, and leadership teams to identify opportunities to improve EMR utilization, efficiency, and user experience.
Stay informed of EMR updates, new functionality, version upgrades, and industry best practices; assess their impact and incorporate relevant changes into training programs.
Proactively review release notes for supported EMR platforms, evaluate potential workflow impacts, and present recommendations to the IT/EMR Director and key stakeholders.
Provide ongoing education and support related to EMR workflows, functionality, and system enhancements.
Monitor training effectiveness, user feedback, and adoption trends to identify opportunities for continuous improvement.
Implementation, Testing & Go-Live Support
Collaborate with clinical and administrative teams to plan and execute EMR implementations, rollouts, upgrades, and major system changes.
Conduct User Acceptance Testing (UAT) and other system testing activities prior to go-live.
Identify system defects, workflow issues, and potential risks; escalate issues to vendors or IT teams and validate resolutions.
Participate in testing and validation to identify potential data security risks and ensure system changes are ready for deployment.
Provide at-the-elbow and post-go-live support during implementations, upgrades, and major system changes.
Assist with the development of implementation and training plans to support successful adoption and minimize workflow disruption.
End-User Support & Issue Resolution
Triage, investigate, and resolve EMR training-related tickets and end-user questions across supported clinical and business applications.
Provide timely assistance with technical questions, workflow challenges, and EMR-related issues.
Submit vendor case requests and escalations when issues require additional technical or application support.
Follow issues through resolution and communicate status, recommendations, and next steps to affected users and stakeholders.
Identify recurring user issues and recommend targeted training or workflow interventions to reduce repeat requests.
Quality, Compliance & Data Security
Develop and deliver education supporting quality programs, regulatory requirements, and organizational initiatives, including MIPS and other applicable quality programs.
Educate staff on appropriate use of electronic health information, data security practices, and compliance requirements.
Promote adherence to HIPAA privacy and security standards within EMR workflows and daily system use.
Participate in system testing and validation activities to identify potential security, privacy, and compliance risks before deployment.
Assist in assessing and documenting user proficiency, required training, and training compliance.
Promote a culture of accountability, continuous learning, data security, and regulatory compliance.
Communication & Stakeholder Collaboration
Build and maintain strong working relationships with providers, clinical staff, administrative teams, leadership, IT, vendors, and other cross-functional stakeholders.
Serve as a liaison between end users, operational leadership, and technical teams to effectively communicate EMR needs, concerns, and opportunities.
Translate complex EMR functionality and technical concepts into clear, practical guidance for users with varying levels of technical experience.
Collect and incorporate end-user feedback to improve training programs, workflows, and the overall EMR experience.
Communicate system changes, training requirements, workflow impacts, and recommended actions clearly and effectively.
Additional Responsibilities
Ability to travel between organizational locations as needed to provide training and on-site support.
Participate in organizational meetings, projects, and initiatives related to EMR education, optimization, and technology adoption.
