The Role

Aerovy is hiring a Business Operations Associate. The operating systems behind payroll, spend, compliance and onboarding were built in-house. It would be your job to run them.

You'd own the recurring operational, financial and compliance cycles end to end, plus the administrative evidence behind our SOC 2 and ISO 27001 programs. These run on a calendar, and the calendar doesn't move. You'd manage the work around those cycles too: vendors and outside partners, records and data rooms, and the numbers leadership sees each week. You'd own the SOPs you work from and keep taking manual work out of them. At 13 people, things also come up that nobody has a process for yet; working those out is part of the job.

You'd report to the Head of Finance and Business Operations, and liaise regularly with our fractional controller, outside counsel and compliance partner.

What you'll do

• Close the month on time and clean. Payroll, billing, payables, expenses and receipts land where they belong in QuickBooks Online and Ramp, reconciled weekly, and our fractional controller gets a complete package on schedule

• Keep the company compliant as it grows. You own the compliance calendar, plus the state registrations, payroll tax accounts and filings behind it, in every state we operate in

• New hires have what they need on their first day, and leavers lose access on their last. Access is granted against an approved request, devices are enrolled, acknowledgments recorded

• Keep SOC 2 and ISO 27001 administrative evidence audit-ready: access reviews, security training and policy acknowledgments, tracked in Vanta

• Manage our outside partners and vendors. Our fractional controller, outside counsel and compliance partner get what they need on time; new vendors are onboarded with the diligence, paperwork and payment setup done right; renewals are handled ahead of deadline

• Keep contracts, corporate documents and policies in order, and manage diligence processes and data rooms

• Manage the operating dashboard leadership runs on, pulling metrics from across the business and flagging what moved and why ahead of the weekly review. You'll help build the next version of it

• When something breaks or slows down, you diagnose it, build or fix the SOP, and automate it where it should be automated

What we're looking for

• 3–7 years in business operations, accounting or payroll operations. Consulting, banking or another analytical background works too, if you're ready to run the mechanics yourself: payroll, expenses and receipts, invoices, compliance filings

• A track record owning recurring deadlines like payroll, filings and renewals without misses, including when hitting them depends on people who don't report to you

• You catch the transposed number, the missing signature, the filing that didn't go through

• Practical experience automating recurring work, including with AI tools; you can walk through a process you automated or improved and what it changed

• You improve processes without breaking the controls around them

• Clear written communication. Most of this job happens in writing

• Based in metro Atlanta or willing to relocate

Nice to have

• Bookkeeping or finance background: QuickBooks, AP/AR

• You can assemble a dashboard from several systems and explain what moved

• Your scope has grown each year. You've taken on things nobody assigned you

• Familiarity with parts of our stack: Ramp, QuickBooks Online, Gusto, Vanta, Notion, Navan

• Time at a startup or small company, where the job was whatever needed doing
