Family Office Associate

A client of Robert Half is seeking a Family Office Associate to support the administrative, financial, and organizational functions of a private family office. This role is designed for a career professional with 2+ years of experience who demonstrates strong judgment, attention to detail, and the ability to manage and maintain sensitive financial information.

The position combines executive support with financial documentation and reporting coordination, as well as coordination of estate planning and entity-level matters. It offers a structured pathway toward expanded financial and operational leadership.

Core Responsibilities

Executive & Administrative Support

• Manage calendars, scheduling, and meeting coordination
• Prepare correspondence, reports, and presentation materials
• Maintain, organize, and safeguard digital and physical filing systems
• Serve as a liaison with accountants, investment advisors, legal counsel, and other professional service providers
• Support special projects and evolving operational initiatives

Financial Reporting & Documentation Support

• Assist in compiling and organizing information for personal financial statements
• Maintain structured schedules of assets, liabilities, and related entities
• Prepare financial summaries and reporting materials for review
• Coordinate documentation requests from external advisors
• Maintain organized and secure records for trusts, LLCs, and related structures
• Support tracking of financial planning initiatives and documentation processes
• Research and report on assigned topics

Qualifications

Required

• 2+ years of professional administrative and financial support experience
• High discretion, integrity, and professionalism
• Knowledge of basic accounting concepts
• Excel skills
• Strong organizational and analytical skills
• In-office presence a minimum of 4 days per week (Chicago near west suburbs)

Preferred

• Bachelor’s degree in Accounting, Finance, Business, or a related field
• Experience supporting financial reporting or professional advisors
• Familiarity with trusts, estate planning concepts, or entity structures
• Experience in a private office, professional services, or investment environment
• Fluency or working proficiency in Italian

Position Details

• Salary expectations in the $70K–$80K range
