Patient Experience Concierge

Company: Galt Dermatology & Concierge Medicine · Enya Health

Location: Ft Lauderdale, FL | M-F, 8 am - 430 pm EST

We run two clinics in Fort Lauderdale with three lines of service. Galt Dermatology is South Florida's first direct-care dermatology practice. We work alongside Enya Health, a hormone therapy clinic, and a small concierge internal medicine practice. Patients choose us because we treat them like welcomed guests, not appointment slots.

The Patient Experience Concierge is the first and last person every patient sees. You are calm, polished, and a step ahead of what the patient needs. Your day-to-day consists of checking patients in and out, keeping the day running on time, and making sure every visit feels personalized.

We want someone who enjoys helping people find what's right for them. When patients feel known and well cared for, they want your opinion. You'll recommend skincare and next steps when they fit what the doctor advised or what the patient asked about, and you'll be confident closing the sale because you believe in what you're offering.

Patient Experience

• Greet every patient by name, offer coffee, tea, or water, and make the wait feel short
\n
• Check patients in and out, collect payment, and book their next visit before they leave
\n
• Recommend skincare and treatments when they fit what the doctor recommended or what the patient asked about
\n
• Keep the waiting area and front of the office guest-ready, orderly, and welcoming.

Running the Day

• Prepare charts and intake forms the day before each visit
\n
• Review and resolve next-day scheduling issues, including gaps, double bookings, and missing paperwork
\n
• Keep the doctors and medical assistant informed about arrivals, late patients, and walk-ins.
\n
• Answer the phone as backup when our remote specialist is on another call or out
\n

Patient Coordination

• Complete patient follow-up calls or texts the doctors assign, such as confirming a referral arrived or a patient received their results or products
\n
• Support the clinic with scheduling, records requests, and patient follow-up
\n

Office Support

\n
• Sort incoming mail
\n
• Scan EOBs and send them to our biller
\n
• Daily attention to incoming faxes and emails
\n

Requirements

\n
• At least 2 years in customer service, luxury hospitality, high-end retail, a med spa, or a boutique medical practice
\n
• Warm, polished, and composed
\n
• You enjoy recommending things people end up loving, and you're comfortable talking about price
\n
• Organized and detail-oriented. Nothing falls through the cracks on your watch
\n
• Comfortable learning new software. We use Jane App for scheduling and GoHighLevel for patient communication
\n
• Spanish is a plus
\n

Find a Way

We're a small team, so nobody waits for permission to fix a problem. You notice a chart is missing labs before the patient arrives. You spot a gap in tomorrow's schedule and flag it this morning. When something goes wrong, you show up with a fix, not just the problem.

If you tell a patient you'll call them back by 3:00, you call by 3:00. If you make a mistake, you say so and fix it. You ask for feedback, take it without ego, and give it with respect.

Talk It Out

Keep everyone in the loop. Say it early. Ask when you don't know.

When people communicate, problems get solved. If a patient is running late or upset, the doctors hear it from you before they walk into the room. If something isn't working, you speak up now, before it becomes a bigger problem. And if you're unsure how to handle something, you ask.
