Job Description Job Description BMS Moving & Storage is seeking a highly organized and detail-oriented Safety Coordinator to support our Safety Department in maintaining compliance, improving administrative processes, and supporting driver safety initiatives across our transportation operations. This role is an administrative support position that assists the Director of Safety with day-to-day safety, DOT compliance, driver file management, training coordination, accident documentation, and regulatory recordkeeping. The ideal candidate is organized, process-driven, comfortable with data entry, and capable of managing multiple compliance-related tasks in a fast-paced transportation environment. Key Responsibilities: DOT Compliance Administration * Maintain and audit Driver Qualification (DQ) files for completeness and compliance * Track CDL expirations, medical card renewals, and required certifications * Maintain driver records in compliance with Federal Motor Carrier Safety Administration regulations * Assist with DOT audit preparation and document organization * Monitor and organize Hours of Service (HOS) records and supporting documentation Driver Safety Support * Assist with onboarding paperwork for new drivers * Coordinate new hire orientation scheduling * Track driver training completion and required certifications * Maintain safety meeting attendance records * Distribute monthly safety topics and company safety updates Accident & Incident Administration * Collect and organize accident documentation * Maintain accident and incident logs * Assist in gathering supporting documentation for claims investigations * Coordinate post-accident drug and alcohol testing documentation Drug & Alcohol Program Support * Coordinate random drug testing schedules * Maintain testing records and compliance documentation * Assist in managing Federal Motor Carrier Safety Administration requirements Vehicle Compliance Support * Track vehicle inspections and maintenance compliance records * Review Driver Vehicle Inspection Reports (DVIRs) * Maintain fleet compliance files and documentation Reporting & Data Entry * Enter and maintain safety-related data accurately * Track driver violations and compliance events * Prepare recurring safety and compliance reports * Maintain internal compliance spreadsheets and databases Qualifications Required: * 2+ years administrative experience (transportation, logistics, fleet, or safety preferred) * Strong organizational skills and attention to detail * High-volume data entry experience * Proficient in Microsoft Excel, Outlook, and Word * Ability to manage confidential employee records * Strong written and verbal communication skills * Ability to prioritize tasks and meet deadlines Preferred: * DOT compliance experience * Transportation or trucking industry experience * Knowledge of HOS, ELDs, and FMCSA regulations * Experience managing driver files * Experience with fleet safety software or transportation management systems Skills & Competencies * Administrative excellence * Attention to detail * Recordkeeping accuracy * Time management * Process discipline * Confidentiality * Compliance awareness * Communication skills * Team collaboration Apply today and build your career with one of the nation's leading moving and transportation companies.
