ARCH Medical Solutions is looking for a highly organized, customer-focused Client Operations Specialist who thrives in a fast-paced manufacturing environment and takes pride in delivering exceptional service. In this role, you will be a key connection point between our customers, Business Development, and Operations teams helping ensure customer needs are handled accurately, professionally, and with urgency.

This position is responsible for the proactive, effective, and timely resolution of customer issues and opportunities while maintaining a consistently professional, courteous, and positive approach. What You'll Do

As a Client Operations Specialist, you will support external customers, Business Development, and Operations personnel in building stronger relationships with existing customers and prospects. You will help drive responsiveness, accuracy, and customer satisfaction through clear communication and dependable follow-through.

Key responsibilities include:

• Support external customers and internal teams to strengthen relationships with customers and prospects.
• Accurately maintain customer data in the company's ERP system, including quote setup, sales order review, order acknowledgements, delivery updates, and open order reporting when needed.
• Communicate with customers by phone and email with professionalism, integrity, and a strong service mindset.
• Manage customer projects and take ownership of customer interactions through accurate documentation and appropriate follow-up with customers and company management.
• Research and resolve customer discrepancies in a timely manner using available resources.
• Proactively gather and route customer feedback to the appropriate internal departments and contacts.
• Adapt positively to changing priorities, work schedules, and pace of work.

What We're Looking For

We're seeking someone who is dependable, detail-oriented, and energized by customer interaction. The successful candidate will be comfortable balancing multiple priorities, communicating across departments, and helping customers get the answers and support they need.

Ideal qualifications include:

• Advanced proficiency with Microsoft Office.
• Knowledge of ERP systems.
• Minimum of 35 years of client account experience, including at least 3 years in customer-facing roles such as client services.
• Manufacturing company experience preferred.
• Strong verbal, written, and listening skills with the ability to communicate effectively with internal and external customers by phone and email.
• Ability to build positive working relationships, promote teamwork, and enhance customer satisfaction.
• Excellent interpersonal skills, reliability, commitment, time management, teamwork, and the ability to succeed in a dynamic environment.
