Senior Area Customer Service Coordinator, Hospitality Under the direction of the Field Manager, this key position supports daily operations, implementations, expansions, and administration of all Managed Services Accounts within an assigned operational area of varying sizes. The role covers all customer support tasks in external customer/client facilities. The coordinator delivers operational support by assisting MS leadership and supplementing onsite personnel at various customer locations. Duties include greeting outside callers and clients, managing conference room scheduling, preparing for key client visits, handling client travel arrangements, supporting general clerical tasks, and participating in company activities such as parties and department meetings. Responsibilities Greet visitors/guests, validate against guest lists, provide badge and parking validation. Serve as company concierge for guests, clients, staff, providing tours and recommendations for hotels, restaurants, and points of interest. Coordinate catering for meetings with support staff and caterers. Maintain and update company phone & speed dial lists. Schedule meeting rooms, ensuring each conference room has necessary supplies and set-up prior to meetings. Assist with audio‑visual equipment for meetings. Provide backup clerical support for Executive Assistants. Help with other departmental or non‑client business activities as needed. Procure and coordinate vendors for special projects. Assist in daily management of facilities and support Executive Level client‑facing staff. Routinely inspect Site Procedures Guide for accuracy and compliance. Maintain knowledge of all contracted services within assigned customer accounts. Perform daily visual inspections of site services and ensure Ricoh and customer compliance to safety. Provide feedback on site experience via survey tools or other forms to improve customer experience, internally and externally. Stand in for absences or vacations of onsite resources, including site leadership, when required. Perform other duties as assigned. Qualifications High school diploma or equivalent. 1–3 years of experience in the field or in a related area. Experience working in a headquarters environment preferred. Knowledge, Skills & Abilities Exceptional organizational and coordination capabilities. High level of professionalism and integrity in all interactions. Excellent verbal and written communication skills. Proven ability to deliver outstanding customer service. Proficient in Microsoft Office Suite and general PC applications. Effective problem‑solving and critical thinking skills. Skilled in operating audio‑visual equipment. Ability to work independently with minimal supervision. Working Conditions, Mental and Physical Demands May be required to move locations in one day if business requires; ability to cover accounts over an assigned operational area. Valid, violation‑free driver’s license and reliable transportation; minimum insurance coverage as per policy. Typical office environment with adequate lighting, ventilation, and normal temperature and noise levels. Work is mostly sedentary but requires walking, standing, bending, reaching, lifting, or carrying objects typically under 10 lbs. Moderate dexterity: regular use of basic skills such as calculator, keyboard, hand tools. Schedule flexibility required; hours generally 8 a.m.–5 p.m. Monday through Friday, with some sites opening earlier or closing later, and possible weekend openings.
