Title: Transfer Student Success Coordinator (Grant-Funded Position) Department: Stay Strong Success Center Campus: Hardin Valley Campus Closing Date: Open Until Filled Type of Appointment: Temporary Part‑time Pay Rate: $23.66 per hour Work Hours: Work up to 30 hours per week Position Summary The Transfer Success Coach supports the execution of Pellissippi State’s strategic enrollment, retention, completion, and transfer priorities through the coordination and assessment of services for students entering the College with prior postsecondary experience and Pellissippi State students preparing to transfer to four‑year institutions. The position manages an assigned coaching caseload, provides proactive and individualized transfer support, coordinates transfer‑focused onboarding and programming, and helps students establish clear academic, completion, and transfer plans. The coach assists students in understanding how evaluated credit, degree requirements, transfer pathways, institutional deadlines, and receiving‑institution expectations affect their progress. The position connects students with appropriate College resources and ensures that matters requiring official academic, credit, admission, or financial‑aid decisions are referred to the responsible office. The Transfer Success Coach also plans and assesses transfer events and outreach campaigns, coordinates services with campus and university partners, maintains accurate student and program records, and prepares regular reports on coaching engagement, program participation, persistence, credit accumulation, credential completion, and transfer outcomes. The position serves as a primary liaison among students, College offices, and partner institutions and supports broader Student Achievement initiatives as assigned. Duties and Responsibilities 40% - Manage an assigned caseload of approximately 200 transfer-in and transfer-intending students and provide individualized success coaching through proactive outreach, scheduled check-ins, student-initiated appointments, campaigns, and timely follow-up. Assess each student’s academic and nonacademic needs, educational history, transfer goals, financial concerns, and potential barriers to progression. Help students understand how evaluated transfer credit, degree requirements, academic standing, and transfer pathways affect their academic and completion plans. Assist students in establishing documented academic, credential‑completion, and transfer plans with appropriate milestones and next steps. Support students in navigating admissions, advising, financial aid, scholarships, registration, degree planning, career exploration, and receiving‑institution processes. Refer official transfer‑credit evaluations, course substitutions, curriculum decisions, financial‑aid determinations, and admission decisions to the responsible College office or receiving institution. Connect students with faculty, advising, tutoring, financial aid, career services, student care, disability services, veterans services, peer support, and other appropriate resources. Monitor student progress and follow up on referrals, early alerts, registration needs, completion milestones, and transfer requirements. Conduct individual and group coaching sessions in person and virtually. Document student outreach, coaching sessions, referrals, services provided, follow-up actions, transfer plans, and other substantive interactions accurately and promptly in Navigate360 or another designated College system. Maintain complete caseload records that support continuity of service, program assessment, institutional reporting, and coordination with other offices. 20%- Plan, organize, execute, and assess transfer‑focused programs that support student onboarding, academic progression, credential completion, and successful transition to four‑year institutions. Coordinate transfer workshops, university‑representative visits, transfer fairs, application‑support events, transition programs, campus visits, information sessions, and other transfer‑readiness activities. Work with Career Development and the Transfer Hub to connect students with university representatives, transfer resources, academic and career exploration, and appropriate partner institutions. Coordinate with Admissions, Records and articulation, Academic Advising, Financial Aid, academic schools, Orientation, Marketing and Communications, Event Services, and campus leadership to plan and deliver transfer initiatives. Promote Tennessee Transfer Pathways, articulation agreements, reverse‑transfer opportunities, applied‑degree transfer options, and designated institutional partnership programs when applicable. Coordinate event registration, scheduling, space, student communication, partner participation, program materials, and other operational requirements. Develop clear student‑facing resources that explain transfer processes, responsible offices, decision points, deadlines, and next steps. Maintain productive working relationships with admissions, advising, registrar, financial‑aid, academic‑program, and student‑success representatives at partner colleges and universities. Gather participation data and student feedback and use the results to improve transfer programming, communication, and institutional coordination. 20%-Use student and program data to guide outreach, assess transfer interventions, identify service needs, and report results. Use Navigate360, Banner, Argos, and other approved College systems to identify priority students, conduct outreach campaigns, respond to alerts, monitor transfer milestones, and track engagement. Prepare regular reports at established intervals summarizing caseload activity, student outreach, coaching engagement, completed referrals, transfer‑program participation, persistence, retention, credit accumulation, credential completion, and other approved measures. Track transfer applications, acceptance, enrollment, and transition outcomes when those data are available. Compile and validate program data and narrative documentation in coordination with the direct supervisor, Career Development/Transfer Coordinator, Institutional Effectiveness, Records, and other appropriate data partners. Identify data needs, gaps, inconsistencies, and recurring student barriers that affect transfer‑in onboarding, academic progress, completion, or transfer. Maintain accurate and reliable documentation that supports program assessment, institutional planning, service coordination, and evaluation of transfer initiatives. Use assessment findings and student feedback to recommend improvements to outreach, coaching, programming, communications, and cross‑office processes. Follow applicable College requirements for accessing, documenting, storing, and sharing student information. 15%- Support transfer‑specific onboarding, general orientation, transitional programming, and related College initiatives. Assist with transfer orientation, new student orientation, welcome programs, registration support, and other onboarding activities offered across College locations and online. Provide transfer‑focused presentations, topical workshops, classroom visits, pop‑up coaching, and information sessions for students and College employees. Coordinate clear handoffs among Admissions, Records, Advising, Financial Aid, Career Development, academic schools, and other offices involved in transfer support. Participate in outreach to admitted transfer students, students with incomplete onboarding requirements, students approaching credential completion, and students preparing to apply to receiving institutions. Support broader Student Achievement initiatives related to recruitment, onboarding, retention, completion, academic recovery, first‑generation students, veterans, and student engagement as assigned. When student workers, peer mentors, orientation leaders, or volunteers are assigned to transfer programming, assist with their onboarding, training, scheduling, mentoring, assignment, and evaluation. Maintain appropriate records of student‑worker assignments, event participation, outreach activity, and student engagement. 5%- Serve on College committees as assigned; participate in relevant professional organizations and professional‑development activities that strengthen transfer knowledge and support the College mission; travel to College locations, partner institutions, and approved events as required; and perform other duties as assigned.
