Wealth Operations Associate

Whitley Penn, one of the nation’s leading audit, tax, and advisory firms, is looking for an Operations Associate to join our WPWealth team.

The Operations Associate provides administrative support and services to our clients and advisors. An Operations Associate will thoroughly learn the firm’s processes and procedures and complete operational tasks as requested to maintain an efficient and professional department. Performance is evaluated based on the quality of work, application of operations knowledge, and ability to meet time constraints.

Position Details:

Title: Operations Associate

Classification: Full-time; Non-Exempt

Department: WPWealth

Location: Fort Worth or Dallas

Office Expectations/Hours: Fully in-office position; general work schedule is Monday – Friday, 8 hours/day between 8am to 5pm with overtime, as needed.  

What You Will Do  

• Responsible for preparing and processing new account and service paperwork, including new account applications, distribution forms, transfer requests, letters of instruction, address changes, etc.


• Communicate with custodians to resolve client issues and follow up on documentation sent to ensure proper completion.


• Gather, organize, and input client data into Orion, Wealthbox


• Internal operations tracking and reporting


• Support our qualified plan business by assisting with new plan on-boarding, preparation of enrollment material and scheduling of annual plan reviews


• Serve as a contact for retirement plan participants by answering telephone calls, emails, and incoming mail questions


• Learn and adapt to service needs of various clients to answer day-to-day questions


• Quickly develop knowledge of forms and account procedures to assist clients

What You Need to Get Here  

• Organized, self-motivated, with initiative and desire to succeed.


• Ability to work well in teams and in fast-paced, cross-collaborative environments


• At least 18 months of operations and/or service experience in financial services or related industry


• Excellent computer skills with intermediate to advanced knowledge of Microsoft Office applications


• Ability to be discreet and maintain confidential information at all times


• Professional verbal and written communication skills with a strong attention to detail


• Comfortable working in an open office environment


• Excellent time management
