Job Function Summary Involves managing or performing the administrative services or managing the full general operations of an academic or non-academic organization(s). Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long‑ and short‑range strategic planning, determining the mission, and directing all activities of multi‑disciplinary departments through subordinate management staff. Custom Scope Apply advanced administrative concepts and a comprehensive understanding of organizational objectives to manage and resolve complex operational issues within Outpatient Therapy Services. Plan, administer, and coordinate administrative operations across multiple clinic sites to ensure efficient daily workflow and continuity of services. Provide leadership, guidance, and functional supervision to front office staff. Perform short‑ and long‑term operational planning and collaborate with management on highly complex issues requiring data analysis and process evaluation. Oversee and support staff in patient registration, appointment scheduling, insurance verification and authorizations, charge reconciliations, billing processes, and other front office administrative activities. Serve as a primary point of contact for patients, referring provider offices, and insurance carriers to resolve administrative and financial issues. Responsibilities Supervise the work of a unit with responsibility for quality and quantity of work, including multi‑site staffing assessments and complex payroll management. Maintain accurate information regarding payers and coverage of services, initiate and procure prior authorizations, and coordinate site‑specific billing functions. Manage patient registration and scheduling, screen referrals, authorizations, and enforce accurate pre‑registration. Distribute and set up work, monitor unit progress, review, process, and approve transactions, and research and resolve issues and discrepancies. Act as the primary first contact for the public and UCSF community to outpatient rehab services, handling inquiries, messages, and phone calls efficiently. Recommend personnel‑related actions and oversee staffing resources and unit needs at all outpatient rehab clinic sites. Participate in the selection, development, and evaluation of staff to ensure efficient operation of the function. Ensure delivery of quality customer service to various constituencies and supervise adherence to internal policies and procedures. Qualifications Knowledge, Skills, and Abilities Working knowledge of the organization's processes, procedures, rules, and regulations (required). Working knowledge of common organization‑specific and other computer application programs (required). Strong service orientation with ability to effectively manage multiple priorities (required). Ability to positively influence behavior of others without direct supervisory authority; skills in conflict management and facilitation (required). Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others (required). Ability to evaluate issues and identify resolutions (required). 3 years of relevant experience, previous experience in a healthcare environment (required).
