Position Overview

The Outpatient Coordinator & Scheduler is a dual-function role responsible for managing the client intake and scheduling. This position is ideal for someone who is highly organized, personable, and thrives in a fast-paced, mission-driven environment.

Key Responsibilities

Client Coordination:
• Serve as the first point of contact for new outpatient clients, guiding them through intake and onboarding.
• Schedule therapy and appointments based on clinician availability and client needs.
• Coordinate care across Thrive’s multiple locations and providers, ensuring documentation is up-to-date in the EHR.
• Communicate with clients and families with empathy, professionalism, and discretion.
• Support clinicians by managing schedule changes, appointment reminders, and follow-ups.

• Verify insurance coverage and obtain authorizations as needed.

Requirements:
• Minimum 2 years experience in behavioral health or medical office administration, with exposure to both client coordination and billing workflows.
• Working knowledge of CPT codes, ICD-10, insurance billing practices, and HIPAA compliance.
• Experience using EHR and billing platforms Opus EHR,Practice Suite, Availity, or similar.
• Strong communication skills, attention to detail, and multitasking ability.
• Passion for supporting individuals and families seeking mental health services.

Preferred Qualifications:
• Experience with New Jersey Medicaid or private pay billing.
• Bilingual (English/Spanish) strongly preferred.
