Receptionist

At R&R Build and Design, our Receptionist plays a vital role in shaping the first impression of our company, ensuring smooth day-to-day operations, and delivering a welcoming experience for every client and visitor. This role supports the entire team by managing front desk operations and administrative functions while upholding R&R’s commitment to excellence, professionalism, and client satisfaction. You will be the face of R&R — the first point of contact for clients, vendors, and partners. Your warmth, organization, and reliability help create the seamless, professional environment that reflects our reputation as a premier design/build firm. Key Responsibilities Greet and welcome all clients, visitors, and vendors in a warm and professional manner. Answer and route all incoming calls, take accurate messages, and respond to general inquiries. Manage scheduling and coordinate appointments for internal team members and clients. Handle incoming and outgoing mail, packages, and deliveries. Maintain accurate records, filing systems, and data entry across office platforms. Keep the front desk, lobby, and common areas clean, organized, and presentable. Assist the sales, design, and production teams with administrative support as needed. Draft and send correspondence, follow-up emails, and internal communications. Handle confidential client and company information with professionalism and discretion. Coordinate with internal departments to ensure smooth day-to-day communication and scheduling. Support the marketing team occasionally with administrative tasks, social media coordination, or event logistics. Help identify and communicate scheduling conflicts, client concerns, or office needs proactively. Contribute to refining front desk and office processes to improve overall efficiency. Professionalism & Presence – Represent R&R with a polished, welcoming demeanor at all times. Communication – Clearly and warmly communicate with clients, vendors, and team members — both verbally and in writing. Organization & Planning – Maintain a structured, detail-oriented approach to scheduling, records, and daily office operations. Team Collaboration – Work cooperatively with all internal departments, supporting a respectful and efficient work environment. Client Focus – Make every visitor and caller feel valued, heard, and taken care of from the first point of contact. Attention to Detail – Ensure accuracy in messages, scheduling, data entry, and all client-facing communications.
